GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES: As the Executive Assistant, you will provide administrative support to the Chair of Education. Utilizing high emotional intelligence and communication skills, you will develop constructive relationships with internal and external stakeholders including Trustees, donors, the Education Visiting Committee, external education communities and Museum staff. You will assist in coordinating education initiatives, events, communications and research. You will develop trust both within and outside of the department and act as a liaison between the Chair and internal and external stakeholders. PRIMARY RESPONSIBILITIES & DUTIES: Strategic management, oversight and support of the Education Chairs calendar, including assisting in the preparation and distribution of materials for internal and external parties Manage the logistical support for meetings, presentations, events and programing by developing agendas, coordinating presentation decks, and writing talking points to ensure smooth operation. Prepare meeting reports and record minutes for the Education Visiting Committee, Education Departmental meetings and other organized events. Under guidance and supervision of the Chair and Development liaisons, manage and support a relationship strategy for Education donors, committees and community partners. Coordinate logistical details for departmental newsletters, presentations, talks, meetings and social events. Under guidance and supervision of the Chair and Development liaisons, plan, produce and manage logistics for small and large scale events and other special projects as assigned. Prepare supporting materials for Chair in preparation of meetings and events. Coordinate all travel arrangements, prepare detailed travel itineraries, and oversee expense reports related to travel as well as other general expenses for reimbursement Serve as point of contact for staff and other individuals who wish to reach the Chair; respond to or reroute on behalf of the Chair, when appropriate Draft correspondence, handle mail, and screen phone calls; Maintain an organized filing system Draft Education Updates for the Management Team meetings and other notable meetings Assist with general office functions phone support, escorting guests, office maintenance and ordering supplies, etc. Other related duties as assigned Evening and weekend hours as needed. REQUIREMENTS & QUALIFICATIONS: Bachelor's degree or equivalent experience required 5 years of administrative office, business, or related experience Proven experience with a variety of administrative tasks including filing, answering phones, and managing an executive calendar. Experience planning, producing and managing logistics for events Experience in Arts Administration Excellent communication skills and ability to work well in a complex production oriented, deadline driven department Excellent organizational skills, detail oriented, and ability to manage multiple tasks simultaneously Ability to proactively build strong relationships and trust with colleagues at all levels of management Must be able to interact and communicate effectively with all levels of staff as well as members of the Board of Trustees, VIPs, and other committees, visitors/associates Must be an analytical thinker and demonstrated problem solver Ability to anticipate needs in a thoughtful and strategic way Demonstrated successful project management/coordination experience Knowledge of software programs for managing projects, schedules, and budgets; strong quantitative skills Excellent written and oral communication skills required Ability to operate with discretion when working with confidential information and materials Thorough proficiency in Microsoft Word, Outlook, PowerPoint and Excel with willingness to learn new computer programs required Knowledge of New York philanthropic community desirable COMPENSATION RANGE: Pay Range: $42.00 - $44.00 / Hourly The advertised pay scale reflects the good faith minimum and maximum salary range for this role. The specific compensation offered to a candidate may be dependent on a variety of factors including, but not limited to, the candidates experience, education, special licensing or qualifications, and other factors. Location Requirements At time of employment, employees are expected to be located within commuting distance of the Museum. Commuting distance means that they are located in one of following states: New York, New Jersey, Connecticut, or Pennsylvania (the Tri-state and PA areas), and be able to commute to and from the Museum in a single day.
