The Office Coordinator for the School of Theology & Ministry is a 3/4 time position, responsible to encourage excellence in the fulfillment of the mission and goals of the Department of Biblical and Theological Studies and the Department of Christian Ministries by providing program support to Department Chairs, faculty, and students in an environment of professional learning.
What will I do in this position?
Essential job responsibilities include but are not limited to:
* Coordinate department finances, including credit card allocation, check requests, expense reports, direct pay requests, and tracking of department and ICS internship budgets. Assist department leadership in maintaining accurate school financial record including basic bookkeeping support. Ensure that the department chairs have final approval for all budgets and all allocations for their department.
* Assist the department chairs with planning and coordinating the schedule of departmental course offerings in the traditional day school program (regular school year and summer sessions) and in communicating about schedule.
* Oversee the editing of the University Catalog and departmental curriculum information sources such as the Curriculum Planning Guides and the Planned Course Offering.
* In collaboration with faculty and IT, update and maintain the departments' web pages.
* Manage the social media strategy for promoting departmental news and marketing departmental initiatives.
* Assist the department chairs in managing the staffing, planning, and communication process for admissions events.
* Support department fundraising efforts through designated projects or institutional initiatives including Eagle Giving Day.
DEPARTMENT OF BIBLICAL AND THEOLOGICAL STUDIES
* Assist in providing oversight of the cyclical program review and assessment processes, compile data for assessment, and work with the department chair to ensure the results are discussed with the department.
* Interview, hire, and supervise student employees. Attend appropriate supervisor training sessions. Assist faculty in hiring teaching assistants by providing administrative support within the Application Tracking and Approvals (ATA) system.
* Work with the department chair to evaluate test-out exams for Old Testament History & Literature (parts 1 and 2) and New Testament History and Literature, then communicate pass/fail notification to the student, the Registrar's office, and B&TS department chair. Answer questions about the test-out exam policy and provide study guides upon request.
* Coordinate planning, promoting, and record keeping of study trips for B&TS faculty and students, including communication with the Emergency Response Team.
* Organize, promote, and oversee all B&TS department events for students, faculty, and guests.
* Participate in building community among departmental faculty members and encouraging an atmosphere which fosters Christ-centered scholarship and teaching.
* Work with the department chair to develop agenda items for B&TS departmental meetings. Record and maintain accurate minutes of the B&TS department meetings; forward to the Academic Affairs office.
* Provide feedback to the Chair on critical or confidential matters. Communicate on behalf of the Chair to the Administration and B&TS faculty. Represent the Chair in regular interactions with Academic Leadership, Faculty, Registrar, and department chairs.
* Support and encourage the professional growth of Biblical Studies majors by communicating information regarding professional development, seminaries and graduate schools, and career opportunities in the field of biblical and theological studies.
* Network with employees in other departments and offices to generate goodwill and maintain a positive work environment. Serve as contact person for the B&TS department and other departments. Order supplies and ensure basic technology needs are met including assessing needs in collaboration with the department chair.
DEPARTMENT OF CHRISTIAN MINISTRIES
* Assist the department chair in managing the promotion, planning, budgeting, and fundraising process for immersion courses, department sponsored study abroad courses, and Quad Abroad ICS Trips.
* Assist in the hiring process for adjunct faculty and other approved positions, excluding teaching assistants.

What will it take to succeed in this position?
Minimum Education and Experience:
* High school diploma or equivalent, required; Bachelor's degree, preferred
* Minimum of three (3) years office experience, required
* Office experience at a post-secondary level, preferred
