Job Summary: The Facilities/Physical Security Coordinator will be responsible for processing facilities and physical security related procurement requests, routing tickets to the appropriate resources, responding to security related events, providing badging and access control, monitoring of camera systems and being responsible for all Facilities/Physical Security requests. This role involves collaborating across departments to support office operations, developing site documentation, and overseeing the accuracy and efficiency of workplace systems. The ideal candidate will have experience in physical security, vendor management, project coordination, and space planning, with strong organizational and communication skills.• Develop and implement physical security policies, procedures, and protocols.• Conduct regular risk assessments and vulnerability analyses to identify potential security threats.• Design and oversee the installation and maintenance of security systems, including surveillance cameras, access control systems, and alarm systems.• Coordinate and conduct security training programs for employees and security personnel.• Lead investigations into security breaches, incidents, and safety violations.• Collaborate with local law enforcement and emergency services to ensure effective response to security incidents.• Monitor and analyze security trends and emerging threats to proactively address potential risks.Key Responsibilities:
  • Procurement Management: Ensure procurement requests are submitted correctly, and work closely with internal teams to streamline ordering processes for office supplies and services.
  • Documentation & Manuals: Develop, update, and maintain site manuals and facility documentation, ensuring all information is current, accurate, and accessible to relevant stakeholders.
  • Ticket Routing: Monitor incoming facility related tickets, accurately routing them to the appropriate teams or resources for resolution. Ensure timely follow-up and ticket closure.
  • Vendor Management: Coordinate with vendors for office services, renovations, or repairs, ensuring contracts and deliveries are aligned with operational needs.
  • Project Coordination: Support facility related projects such as office moves, refurbishments, and improvement initiatives, adhering to timelines and resource allocation.
  • Space Management: Ensure all seat assignments are coordinated and completed, ranging from new hires to internal moves.
• Prepare and present detailed reports on security incidents, risk assessments, and safety audits to senior management.• Ensure compliance with all relevant security regulations and standards.Skills & Qualifications:
  • Experience in workplace organization and facility design
  • Strong knowledge of facility management systems for work orders and project tracking
  • Proven ability to manage vendor relationships and handle capital expenses within budget
  • Excellent communication and interdepartmental coordination skills
  • Strong project management experience, with the ability to manage office moves, refurbishments, and expansion projects
  • Ability to develop and maintain facility and security documentation and site manuals Proven excellence in problem solving
Education and Experience:
  • Bachelor's degree or equivalent work experience in Facilities Management, Security, Business Administration, or a related field
  • 2+ years of experience in a similar facilities/physical security coordination role
  • Proficiency in office and project management software (e.g., JIRA, Excel, etc.) Knowledge of security systems and access management tools
