Our thriving law firm is seeking a highly skilled and versatile Legal Administrative Assistant / Office Manager to join our team. The successful candidate will be responsible for managing the day-to-day operations of our office, providing administrative support to our legal team, and providing direct services to clients moving through the estate planning process.

Responsibilities:

  • Administer the daily operations of the office, including managing schedules, maintaining office supplies, and handling administrative tasks.
  • Provide administrative support to our legal team, including organizing case files.
  • Serve as the point of contact for all office inquiries, including phone calls, emails, and visitors.
  • Coordinate and schedule meetings and appointments with clients, opposing counsel.
  • Calendar and register attorney for court appearances in probate and civil departments of superior court, according to local rules.
  • File and serve documents in the probate and civil departments of superior court, according to local rules.
  • Provide support to clients moving through the initial estate planning process, including preparing documents for delivery to clients at the direction of attorney, assisting clients with accessing online secure client portal, following up with clients to return information and documents in a timely manner.
  • Provide support to clients in the firm's formal estate planning maintenance program.
  • Manage and maintain client databases and software programs.
  • Manage confidential and sensitive information with discretion and professionalism.

Requirements:

3+ years of experience in a senior administrative role in legal field

Excellent organizational skills and attention to detail.

Notary - a plus!

Strong communication skills, both written and verbal.

High level of proficiency in Word and Excel, and/or Google Docs/Sheets is a must.

Experience with legal and marketing software (Clio Manage, Lawmatics, or other CRM and document assembly software) a plus.

Ability to manage multiple projects and prioritize tasks effectively.

Experience working in a fast-paced environment and adapting to changing priorities.

Pay: $23.00 - $28.00 per hour
