Transformation House is a family-owned behavioral healthcare firm specializing in treating substance use disorders and mental health conditions. Established over 30 years ago by Betty Mathews, the organization has grown to include multiple facilities in the North Metro area of Minneapolis, including Anoka, Champlin, and Fridley, Minnesota.

Position Overview:

The Director of Operations plays a pivotal role in ensuring the smooth and efficient functioning of a behavioral health firm. This position involves overseeing day-to-day operational activities across various departments, including IT infrastructure, vendor management, inventory control, clinical operations, safety, and environmental risk management. The Director of Operations collaborates closely with executive leadership and department heads to support the organization's mission and strategic goals.

Key Responsibilities:

Operational Management:

  • Oversee daily operations to ensure efficiency and alignment with organizational goals.
  • Develop, implement, and monitor policies and procedures to improve operational effectiveness.
  • Act as a liaison between administrative, clinical, and operational teams to foster collaboration.

IT Infrastructure and Support:

  • Manage the organization's IT infrastructure, ensuring system reliability, security, and scalability.
  • Supervise IT support services, troubleshooting, and maintenance to ensure minimal downtime.
  • Collaborate with IT vendors to implement upgrades and ensure compliance with industry standards.
  • Oversee telephone systems and vendors, including troubleshooting, maintenance, and cost optimization.

Vendor and Contract Management:

  • Manage relationships with key vendors, including IT services, telephone providers, and food suppliers.
  • Negotiate contracts, monitor performance, and ensure cost-effectiveness and quality standards.

Supply Chain and Inventory Management:

  • Oversee food supply procurement and inventory to ensure adequate resources for clinical operations.
  • Manage clinical operation supplies, ensuring availability and compliance with health and safety standards.
  • Implement efficient inventory tracking systems to minimize waste and control costs.

Safety and Environmental Risk Management:

  • Develop and implement safety policies and procedures to ensure a secure environment for staff, patients, and visitors.
  • Conduct regular safety audits and risk assessments to identify and mitigate potential hazards.
  • Ensure compliance with OSHA standards, fire codes, and other regulatory requirements.
  • Oversee environmental risk management strategies, including waste management, hazardous materials handling, and infection control protocols.
  • Lead emergency preparedness efforts, including disaster response planning and staff training.

Facilities and Equipment Oversight:

  • Ensure all facilities are well-maintained and meet operational and safety requirements.
  • Coordinate with maintenance teams to address repairs, upgrades, and compliance needs.

Compliance and Quality Assurance:

  • Ensure adherence to industry regulations, accreditation standards, and organizational policies.
  • Monitor operational metrics and implement corrective actions to maintain high-quality service delivery.

Strategic Planning and Reporting:

  • Collaborate with leadership to develop and implement strategic initiatives that drive operational excellence.
  • Prepare and present reports on operational performance, challenges, and opportunities for improvement.

Qualifications:

  • Bachelor's degree in business administration, healthcare management, or a related field (Master's preferred).
  • Minimum of 5-7 years of experience in operations management, preferably in behavioral health or healthcare.
  • Strong knowledge of IT systems, vendor management, inventory control, safety, and risk management practices.
  • Experience with regulatory compliance, including OSHA, environmental standards, and healthcare-specific guidelines.
  • Excellent leadership, organizational, and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Exceptional communication and negotiation skills.
