Personal Assistant - $100-120k
HNW couple is looking for an experienced Personal Assistant to manage their various real estate properties, maintain personal and professional calendars, manage personal finances and bill-paying, and assist with additional day-to-day administrative tasks for their properties and their Philanthropic Foundation. Looking for someone with a proven track record of maintaining confidentiality and setting up systems; someone who is able to anticipate and meet their ongoing needs. An interest in art and/or having worked in the art world – dealt with archiving artwork, etc., would be a BIG plus!
Responsibilities Include:
- Financial support with bills, invoices, paper management, technology support, overall organization
- Organize paperwork for taxes (personal and property taxes; input data in software, organize receipts and invoices) and work with accountants
- Work with IT help consultant to ensure smooth service
- Create maintenance and service schedule for all real estate and vehicles; coordinate and oversee as appropriate
- Maintain list of contractors and repair people for all properties
- Follow up with property manager on outstanding tasks and repairs for both our condo units
- Research and make personal travel arrangements as needed; make pet sitting arrangements
- Create recurring meetings around anticipated needs such as tax preparation, finance meetings, etc.
- Maintain office supplies and ensure proper function of any equipment/technology
- Maintain inventory of furniture and office assets (computers, printers, cameras, etc.)
Requirements Include:
- Bachelor's Degree preferred
- Minimum of 7 years Personal Assistant experience
- Must have a valid driver's license
- Must read, understand, and sign a nondisclosure agreement
- Dual platform Mac/PC preferred
- Occasional travel/stays in Massachusetts and Florida required, all expenses paid (hotel, car, etc.)
- Art/art history background or interest a plus – there will be some art handling in this job
