Description The IP assistant will support IP practitioners with various IP-related tasks and provide administrative support. This role requires a deep understanding of IP law, exceptional organizational skills, excellent attention to detail, and the ability to manage administrative duties. Experience
  • Industry Experience: Ideally, the candidate should have a minimum of 3-5 years of IP related experience, specifically within the biotech or pharmaceutical industry. This ensures they are familiar with the unique challenges and process in these fields
  • Software Proficiency: Proficiency in Microsoft Office Suite is necessary for managing IP portfolios and conducting research efficiently
Responsibilities
  • Coordinate the administration of formal documents (e.g., declarations, assignments, and powers of attorney, etc.), send to clients for signature and track status of signatures, and provide necessary follow-up; responsible for certification/legalization of formal documents
  • Manage and update docket reports; serve as primary liaison between internal IP practitioners and external docketing team to ensure accuracy of patent record information as well as to ensure timely submission of docketed items.   • Manage national stage entry by working closely with service providers
  • Contribute to process for obtaining information disclosure statement (IDS) references
  • Assist with the management of financial data for IP, including billing issues, budget preparation and tracking for IP matters. Coordinate payment of patent annuities and trademark renewals
  • Schedule meetings, coordinate with external counsel, and manage calendars to ensure timely submission of docketed items
  • Prepare and submit expense reports
Key Skills
  • Bachelor's degree or equivalent experience in a related field. Previous experience of similar roles preferred
  • Minimum of 3-5 years of IP related experience, preferably in a biotech or pharmaceutical setting
  • Strong understanding of patents
  • Excellent research, writing, and communication skills
  • Proficiency in IP management software and Microsoft Office Suite
  • Ability to manage multiple tasks and deadlines in a fast-paced environment
  • Detail-oriented with strong organizational skills
