This position is funded by a grant or restricted funds. Continued employment is contingent on the renewal of grant or restricted funded. Responsibilities:
  • Prepares and reviews IDOs, Supplemental Pay, and Payroll Adjustments. Manages procurement activity, compiling monthly account reconciliation files, binders, and reports. Prepare and manage Workday actions and processes regarding cost allocation submissions. Process restricted and non-restricted funds data. Creates, submits, and reviews account profiles to establish new accounts for external grants. Prepares, submits, and reviews department budget transfers (DBR's) to establish the budget for the new accounts.
  • Oversee Center (PVAMU partner) operating budget (federal and cost sharing), spending plan, and forecast upcoming costs. Assist with the preparation of the annual operating budget. Prepare and maintain internal budgetary analysis of Center (PVAMU partner) funds. Coordinate monthly with the Office of Institutional Research, Financial Aid Office, Payroll Office, and Student Employment Office to ensure that accounts remain within budget. Reconcile monthly expenditures with the Office of Sponsored Programs, Accounts Payable, Procurement Office, and Treasury Services. Review and audit reconciliations of monthly expenditures; monitor and report on Center (PVAMU Partner) budget activity. Work with the Office of Sponsored Programs to revise budgets as needed and resolve any cost overruns.
  • Develop and implement budget management tools for Center (PVAMU partner) funds. Utilize CANOPY, FAMIS, Maestro and PVAMU Intranet tools to monitor budgets. Utilize Canopy and Excel spreadsheet records to assess status of budgets under the purview of the Director. Create spreadsheets and charts to report this information to the Director, sponsors and others as requested. Prepare ad hoc, monthly, and annual financial reports for the Director.
  • Monitor all cost sharing (PVAMU Partner) accounts to ensure that the Office of Institutional Research and Office of Sponsored Programs is reporting all data and identify other cost sharing sources (in case of shortfall).
  • Participate in staff development training workshops and courses to improve skills.
  • Performs other duties as assigned.
Required Education & Experience:
  • Bachelor's degree in applicable field or equivalent combination of education and experience.
  • Three years of related experience.
Required Knowledge, Skills & Abilities:
  • Knowledge of word processing, spreadsheet, and database applications.
  • Ability to multitask and work cooperatively with others.
  • Strong verbal and written communication skills.
Special Requirements:
  • Applicants with equivalent experience in lieu of a Bachelor's degree may be considered. One year of the related experience is the equivalent of one college year. Applicants being considered for the equivalency must have four years of related experience to meet the equivalency in lieu of a Bachelor's degree plus the minimum required years of experience. Applicants being considered for the equivalency must have a total of seven years of experience.
Preferred Qualifications:
  • Master's degree.
  • Three or more years of related work experience with administration or project management.
