Job Summary:
We are seeking a highly organized and adaptable Administrative Assistant to support three executives within our client's organization. The ideal candidate will be proficient in Microsoft Outlook, Excel, and Teams, and will excel in a dynamic, fast-paced environment. This candidate will be adept at adjusting priorities and keeping up with shifting demands. This role requires exceptional multitasking abilities, strong communication skills, and a proactive approach to problem-solving.
- Responsibilities:Calendar Management: Efficiently manage and coordinate the executives' calendars, ensuring all appointments, meetings, and events are scheduled and updated.
- Meeting Coordination: Schedule and organize meetings, including preparing agendas, taking detailed notes, and distributing minutes.
- Meeting preparation: Ensure that all materials are available prior to key meetings and help with week-ahead preparation.
- Expense Reports: Prepare and submit expense reports for the executives, ensuring accuracy and timely processing.
- Event Coordination: Plan and coordinate team events, including logistics, catering, and communication with attendees.
- Collaboration: Partner with other executive assistants within the P&C function to ensure seamless support and coordination across the team.
- Adaptability: Embrace change and demonstrate agility in responding to shifting priorities and demands.
