Job Description :

Randstad have an opportunity available for an experienced administrator to work alongside Belfast Metropolitan College's internal support team on a temporary ongoing basis.

This role is based in Hydebank Wood College (NI Prison Service)

Requirements

  • 5 GCSEs including Maths and English (Grade C and Above) or equivalent)
  • Ideally a Level 3 qualification in a relevant subject
  • 12 months previous experience in a customer service or administrative role
  • Excellent IT skills
  • Experience working in a confidential environment
  • Excellent written and verbal communication skills
  • Candidates will be subject to enhanced vetting and compliance due to the nature of this work, including an Access NI check

Responsibilities

  • To ensure that a high-quality secretarial service is provided within the Business Unit at all times including:
    • Organise administrative support for meetings to include team meetings and exam board meetings
    • Ensure minutes are accurately recorded, typed up and provided to management teams in a timely manner
    • Upload qualification/examination results to relevant awarding body systems and onto the prison student management systems
    • Deal with incoming and outgoing mail, telephone calls and electronic mail
    • Maintain computerised and manual record keeping systems including those for student-related statistics
    • Ensure that monthly returns for staff are processed
    • Process time and attendance (including additional hours) details for full staff
    • Collate, verify and manage primary documents in line with organisational procedures and the College's retention and disposal guidance
  • To input timetabling data onto the prisons centralised timetabling system as required
  • To prepare statistical data in preparation for performance reviews and monthly analysis
  • To maintain the highest level of confidentiality in the operation of the duties of the post
  • To ensure adherence to all relevant policies as set out by the College, Department for the Economy, awarding bodies, regulatory and prison guidelines and circulars on student attendance and departmental procedures
  • To maintain the course data on the relevant management information systems
