Location of the jobRiyadh, Kingdom of Saudi Arabia (KSA) Language requirements for the job Fluency in Arabic & English is essentialCompany backgroundOur client is an international architecture & design practice Job responsibilities of the Arabic speaking PA/Administrative Assistant As the group Arabic speaking PA/Administrative Assistant, you will provide essential support to the growing team who are working on some of the highest-profile architectural projects across Saudi Arabia.Your role will typically include the following duties and responsibilities:
- Provide full PA support to General Manager, including calendar management, meeting and travel arrangements, expense report filing, credit card reconciliations and any other tasks as required
- Support the wider team with travel arrangements, including potentially detailed and complex travel plans
- Provide general administrative support to team members as required e.g. meeting coordination
- Ensure the office and meeting rooms are clean and tidy at all times.
- Responsible for office seating plans
- Greet visitors, answer the phone, manage meeting room bookings.
- Submit office-related vendor invoices to the finance team for payment
- Support our GRO in managing office-related vendor relationships
- Support with the arrangement of office socials
- Support the GRO in welcoming new hires e.g. ensuring they have a desk and suitable IT equipment
- Additional tasks as directed by the General Manager or Government Relations Officer
The successful candidate background
- Fluency in Arabic & English is essential
- Demonstrable experience in a similar administrative role, including providing PA/EA support
- Experience in making complex travel arrangements
- Proactive, able to look ahead and foresee requirements
- Willing to assist, no matter how small the task
- Comfortable in a fast-paced and fluid environment
- Excellent MS Office skills (Word, Excel, Outlook). Knowledge of InDesign would be an advantage
- Proficient in MS Office (Word, Excel, Outlook), knowledge of InDesign a plus.
- Able to juggle tasks and prioritise in order to meet deadlines
- Great attention to detail
- Experience handling sensitive material with discretion and confidentiality
- Be able to live and work in KSA without restriction
