Job Description :

**This is a temporary to permanent role subject to interviews and tests**.

We are seeking a professional and courteous Receptionist to a office team in Ealing. The successful candidate will be the first point of contact for visitors and will provide administrative support to the Business Support Manager and Coordinator. This role is ideal for someone who is organised, has excellent communication skills, and can manage multiple tasks efficiently.

Day to Day of the role:

  • Answering all incoming calls with a polite and informative approach.
  • Greeting visitors, signing them into the office, and ensuring a warm welcome.
  • Preparing and managing outgoing post, including special deliveries and international mail.
  • Booking taxis and hire cars, and adding hire cars onto the Motor Insurance Database (MID).
  • Assisting with organising office lunches and setting up meeting rooms.
  • Maintaining the post room and ensuring the franking machine is topped up.
  • Regularly checking kitchen facilities and replenishing stock as necessary.
  • Assisting with minor office moves and arranging office repairs.
  • Liaising with team administrators and sub-contractors for ongoing office tasks.
  • Ordering and managing stationery supplies and processing supplier invoices.
  • Assisting with mobile phone management across the UK & Ireland.
  • Supporting the Health & Safety Coordinator by conducting workstation assessments.
  • Managing external cleaners to ensure high-quality service.
  • Coordinating the sorting, storage, and collection of recyclable items.
  • Assisting with office opening and closing procedures to ensure security.
  • Complying with and promoting the company’s Health & Safety Policy.
  • Supporting the Business Support team and carrying out additional projects as assigned.

Required Skills & Qualifications:

  • Previous office/administration experience required
  • Excellent communication and interpersonal skills.
  • Strong organisational skills with the ability to multitask.
  • Proficiency in using office equipment and management systems.
  • Good understanding of data protection and privacy legislation.
  • Ability to work independently and as part of a team.

Location:  Ealing Broadway (10mins walk from station)

Hours:  Monday to Friday 9am to 5pm (office based)

Salary : 24000 - 25000
