Job Description :

Our client has quickly carved out for itself a reputation for delivering the best quality paint protection film installation service in the UK under an exclusive service agreement with a leading automotive group majoring on their luxury brands of Ferrari, Aston Martin, McLaren and Porsche.

They are now looking for a motivated and competent individual to join them as their Commercial Administrator.

Key Purpose of the Role: The Commercial Administrator is responsible for ensuring the efficient and professional delivery of administrative processes to support the day to day running of a busy commercial office in a luxury car PPF installation facility.

This includes, but is not limited to, administration of documentation, management of data, maintenance of trackers and liaison with clients, customers and suppliers.

Key Responsibilities:

Your principal responsibilities will be to take vehicle bookings, allocate a production slot and book incoming and outgoing transport whilst ensuring the Work-In-Progress report and Schedule/Production Chart is always up to date.

The WIP and Schedule/Production chart are the "heartbeat" of the business, and they need to be accurate at all times - whilst being flexible enough to cater for the inevitable changes that occur almost every day.

Once a car is booked in and confirmed, you will create a "Job Sheet" containing details of the job and work involved.

At the end of each job, you will create a "Welcome Pack" in a folder to be left on the passenger seat of every car prior to departure. This pack will include a welcome letter, care and maintenance of PPF guide, and details of their XPEL 10 Year Warranty (which you will register online with XPEL).

You will be responsible for accurately maintaining the WIP database ensuring data is kept up to date at all times.

You will act as a focal point of contact to receive incoming enquiries and either handle or forward to management as appropriate.

Generally, you will maintain administrative processes and procedures to support the business.

Qualifications

Essential:

Proven experience in Office or Commercial Administration

Experience in a commercial or project environment

Desirable:

Office administration qualification

Commercial/Financial qualification

Experience & Knowledge

Essential:

MS365, esp. Advanced Excel, MS Word, SharePoint

Desirable:

NetSuite and RTC (Cit Now)

Experience of working on own initiative in a busy office environment

Skills

A quick learner with good task management skills

Excellent organisation and communication skills, both written and verbal

Attention to detail and accuracy

Ability to communicate effectively at all levels

A high degree of personal initiative, responsibility and commitment, coupled with integrity and enthusiasm in a potentially stressful environment

Ability to maintain a high level of confidentiality

Ability to cope with urgency and pressure of work

Ability to identify and manage priorities

Salary Range: £35,000 - £42,000

Hrs: 08:30 - 17:30
