 Compliance Administrator

  Job Specification:

  • Document management: Onboarding and off-boarding of clients and supplier of services. Create, maintain, and archive contractual documents and correspondence. Administration assisting front office and back office with collating and actioning of Supplier of Services Agreements, Inductions, NDA’s, Master Service Agreements, Pre-Qualification Questionnaire’s and Statement of Works. Completing ‘Know Your Customer’ checks on clients.
  •  Data & Risk management: Maintain trackers and files, and ensure data is accurate and up to date for client and supplier of services. Manage and update supplier compliance documentation, insurances, company certificates, agreements. Work with the Audit team and Heads of department to investigate and document compliance breaches and incidents. Assisting back office with due diligence on clients and supplier of services evaluating potential risks.
  • Quality improvement: Assist and support on administration and collation of evidence and documentation for internal audits, inspections covering areas within ISO9001, CHAS and Safe Contractor. Assist in implementing and maintaining health & safety procedures.
  • Customer service: Handle customer enquiries and provide support to team members. Monitor the enquiries emails. To support the Directors and Management in maintaining and developing client & supplier relationships. Assist the PM’s with maintaining supplier relationships. Assist with supplier rebate negotiations and rebate agreements.
  •  Company Meetings: Recording details of company meetings, taking minutes of the meeting, producing agenda’s, corrections to previous meetings, managing actions of meetings, deadlines and follow-ups.
  •  Directors Support: Providing efficient and accurate administration support to the Directors.
  • Right to work checks in line with UK employment law: Assist HR with conducting ‘right to work checks’ verifying documents that prove eligibility to work in the UK and to prevent consequences of non-compliance.

Compliance to protect people's personal information. Working with the internal audit department by providing administration support. Reviewing how data is collected, processed, stored, and protected. Checking that data is collected for specified, legitimate purposes. Ensuring data is processed lawfully, fairly, and transparently. Checking that data is minimized to what is necessary. Ensuring data is erased once the purpose of processing is complete.

We would ideally be looking to hear from those who have previous experience as a Risk & Compliance Administrator, Administrative Assistant, or similar role. Must have 2-years' worth of Administration Experience.
