Constitutional Services Support Officer
  • Location: Oldham Council
  • Job Type: Full-time, Temporary for 3 months, (with the possibility of extension)
  • Salary: £14.49 to £15.72 per hr paye (Depending on experience)

We are seeking a dedicated Constitutional Services Support Officer to join the team at Oldham Council. This role involves providing comprehensive administrative and business support, as well as practical day-to-day advice to the constitutional team. The successful candidate will manage the diaries of the Mayor and Deputy Mayor, handle sensitive communications, and support the team in various administrative tasks.

Day-to-day of the role:
  • Manage the diary of the Mayor and Deputy Mayor, ensuring appointments are scheduled with consideration of political and Council priorities.
  • Screen email inboxes, undertake casework, and assess the importance of emails, reallocating them as necessary.
  • Provide a comprehensive secretarial support service, including producing documents, correspondence, reports, maintaining spreadsheets, and formatting presentations.
  • Assist the team with information gathering and liaising with Council Officers to provide relevant and effective responses.
  • Manage correspondence, formulate routine responses, and handle customer queries, occasionally responding on behalf of the Mayor.
  • Undertake support tasks such as progress chasing and document management.
  • Handle public interactions on behalf of the Mayoral office, managing complaints and difficult issues sensitively.
  • Coordinate meetings, manage attendees, order refreshments, book venues, take minutes, and ensure follow-up actions are progressed.
  • Filter and direct incoming telephone calls, identifying urgent and sensitive matters.
  • Maintain secure and effective manual and electronic data recording and filing systems.
  • Order goods and services using the Council’s Financial Management Information System.
  • Perform other clerical tasks as required.
Required Skills & Qualifications:
  • Proven experience in an administrative support role, preferably within a governmental or council setting.
  • Excellent organisational and time management skills.
  • Strong communication skills, both written and verbal, with the ability to handle sensitive information discreetly.
  • Proficiency in Microsoft Office applications and experience with financial management information systems.
  • Ability to work independently and as part of a team.
  • Experience in handling public interactions and managing complaints diplomatically.
