The purpose of this role is to load and process customer mailing data, in line with their mailing instructions, into our sortation systems and to create usable mailing label outputs, which are then delivered to our onsite Mailhouse or external mailing houses for enclosure with mailing items, for onward global distribution. This role is critical to the Air Business operation in terms of ensuring that individual customer job instructions for mailings are accurately interpreted and processed, and jobs are ready for mailing in line with our customer SLAs and schedules.
Note - Before you apply for this role, please be aware this position is based in Hatfield 3 days per week/ 2 day WFH. Own transport is essential, not in walking distance from Hatfield train station.
Principles responsibilities:
- Read, assimilate & decipher customer job instructions in our job workflow system, Focal Point, to produce sorted postal mailing list outputs for each customer job, using our processing, routing & sortation systems.
- Update mailing label templates in Planet Press, where applicable, based on customer instructions in preparation for printing.
- Produce test print files to check key elements are present in outputs before printing.
- Prepare and send proofs of mailing outputs to clients to approve before printing.
- Print approved outputs (e.g. carriers/labels/letters) in liaison with print room staff.
- Generate PDFs of outputs or datafiles for inkjet printing in Mailhouse, where required.
- Check printed/PDF/datafile outputs for quality and quantities against job instructions.
- Print sortation reports and bag labels for the Mailhouse & Distribution departments.
- Print control reports to accompany mailing outputs for the Mailhouse, Distribution & Invoicing departments.
- Liaise with outsource team & suppliers & customer support team, where required, regarding data & processing queries
- Follow Company procedures to maintain our high quality standards, including completing check sheets. Key Skills/Qualification/Experience
Essential
- Good IT skills particularly importing and exporting from excel/macros/ databases/data reporting/e-mail
- High degree of data entry accuracy
- Attention to detail/Meticulous
- Good English (verbal, comprehension & written) communication skills
- Data reporting or data manipulation experience
- Good geographical knowledge of country locations
- Previous experience of working in a pressurised data processing unit
- Experience of reading and assimilating written instructions accurately
- No formal qualifications are required but a good secondary education is desirable with GCSE’ level English, Maths and Computing
Desirable
- Experience of design packages e.g. Planet Press or InDesign or Adobe packages
- Cygnus, Trillium or any mail sorting software
- Basic programming or scripting or Excel macro creation skills also an advantage
- Previous postal experience
