Estate Agent Sales / Lettings Administrator - Cardiff - up to £27k (Office Based)
My client is a leading multi branch, independent Lettings and Estate Agency brand who have been established in the area for over 20 years. Due to continued growth they are looking for a Sales / Lettings Administrator to join their team in Cardiff. They are looking for somebody hardworking, enthusiastic and confident, organised, has a high level of attention to detail and with a strong customer service focus. Experience in the property sector or a similar administration role would be advantageous but not essential, providing that you are willing to learn and develop your skills and knowledge
Main Duties for the Sales / Lettings Administrator Role:
- Dealing with all routine and urgent maintenance
- Provide administration support to the Residential Sales and Lettings Departments utilising the software and portals.
- To include preparing property details
- Provide support in sales progressions; speaking to all relevant parties to ensure exchange and completion deadlines are met.
- Renewal of gas safeties, EICR’S and EPCs in a timely fashion to ensure we remain compliant
- Drawing up Standard Occupation Contracts for all new lets and tenancy renewals
- Registering applicants correctly on the system - both sales and lettings - and matching them to properties
- Booking in valuations and viewings
- To confirm and propose a new tenancy on the computer and follow all the necessary procedures
- To process application forms and add to the tenant referencing portal
- Call outs on new properties and applicant cleansing/reviews
- Diary management
- Key management
- Make up move in packs for new move ins
- Check windows cards regularly to ensure they are rotating with our stock
- Monitor works orders and close down those no longer active
- Routine admin tasks - making up files, franking, shredding etc
- Any other tasks reasonably required of you by your Line Manager
- Provide support in sales progressions; speaking to all relevant parties to ensure exchange and completion deadlines are met.
Essential Skills Required:
- Administration experience
- Excellent communication skills
- Strong IT knowledge
- Able to work in a fast paced environment
Working hours - Monday to Friday 9am - 5.30pm with an hour for lunch. Alternate Saturdays 9am - 5pm with a day off in lieu
