The RoleThis role is to provide administrative support to the Direct & Facultative Chief of Staff, as well as the broader team across Direct & Facultative (London).NB: not all colleagues within the department will require assistance
- Support key Senior Leaders including the D&F Chief of Staff, including diary management.
- Efficiently organise complex travel arrangements
- Assistance with expense claims
- Manage internal & external meetings / create visitor passes
- Organise restaurant and external event bookings
- Minute taking at meetings
- Creation of PowerPoint slides
- Arrange meeting rooms, catering and send out meeting invites with key information
- Update supported colleagues diaries with travel arrangements and restaurant booking details
- Ensure external and internal clients queries are dealt with demonstrating high quality standard of professional excellence
- Open/deliver post to team members
- Assist with IT issues when requested
- On-boarding new joiners; arranging equipment, security passes etc.
The Requirements
- Demonstrated secretarial experience preferably in a large corporate environment
- Ability to work under pressure with tight deadlines
- Ability to problem solve and handle last minute changes
- Ability to work across a number of stakeholders and keep them up to date
- Experience with diary management, including complex travel arrangements
- Moderate PowerPoint & Excel skills
- Fully conversant with Microsoft Outlook and Word
- Highly organised and efficient
- Able to work collaboratively
