Job DescriptionWe have an exciting opportunity for an Executive Assistant to join our team at Connells Group.Reporting to the Executive Office manager your responsibilities will include:
- Diary Management – complex calendars and ever changing diary arranging, involving multiple attendees. Liaising with other PA’s to set up meetings.
- Ensure monthly meetings are in place, including 121’s
- Preparing itineraries and coordinate travel arrangements including hotels, trains etc
- Organise, prioritise and handle time-sensitive, confidential information and ensure appropriate action is taken
- Collating and producing board reports using adobe acrobat
- Prepare presentations
- Managing room bookings and conference calls
- Ensure meeting rooms are set up as required. This includes meeting and greeting attendees (as required) arranging lunches and making drinks etc.
- Occasional dictation for emails and letters
- Processing post, opening and ensuring letters are forwarded to the right department
- Prepare monthly expenses and submit mileage
- Collate and submit gifts and benefits and professional development
The ideal candidate will have:
- 2+ years’ experience operating at a similar level in a fast-paced environment
- Good computer skills, Outlook (Intermediate), Excel (Intermediate), Word (Intermediate), PowerPoint /Keynote (Intermediate)
- Exceptional organisational, planning and prioritisation skills with a strong focus on attention to detail
- Extensive experience of diary management
- Excellent communication (written and verbal) and interpersonal skills
- Flexible, with the ability to handle multiple assignments at any given time while maintaining commitment to deadlines
- Highly motivated, organised individual who is able to work effectively with minimal supervision
- Impeccable attention to detail and high levels of integrity and discretion
