Executive Assistant to the C-Suite Executive

Reed Wolverhampton are seeking a highly organised and proactive Executive Assistant to provide key administrative and business support to our client's C-Suite Executive. This role is crucial in maintaining the executive’s schedule, coordinating with internal and external stakeholders, and providing logistical and travel support to ensure the smooth operation of our strategic objectives.
Day-to-day of the role:
- Support the C-Suite Executive in delivering the organisation’s overall strategic objectives.
- Maintain comprehensive and effective administrative support to assist in the delivery of assignments and initiatives, and leadership and management of the organisation.
- Work closely with the C-Suite Executive and senior leadership team, organising internal and external meetings, and managing regular correspondence.
- Coordinate departmental reports and documentation required for board meetings and other meetings.
- Circulate agendas and papers, take and issue formal minutes, and follow-up on action points of departmental, cross-functional, and senior/Board level meetings.
- Manage an accurate and detailed calendar for the C-Suite Executive, handle incoming scheduling requests, reschedule meetings upon request, and proactively communicate changes.
- Conduct research/analysis as directed by the C-Suite Executive.
- Maintain open communication and working relationships with team members to clarify the C-Suite Executive’s requirements.
- Handle phone enquiries on behalf of the C-Suite Executive, directing calls as appropriate.
- Manage all travel scheduling and arrangements.
- Demonstrate poise and tact under pressure, handle matters with sound judgement and confidentiality.
- Re-prioritise work at short notice when necessary.
Required Skills & Qualifications:
- Proven experience as an Executive Assistant, preferably within a C-suite environment.
- Strong organisational and planning skills.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with discretion.
- Proficient in MS Office and comfortable with digital scheduling and communication tools.
- Capable of conducting research and preparing reports.
- Ability to work under pressure and adapt to changing priorities.
