Are you an experienced Personal Assistant looking to make a positive contribution to both your team and community? We are recruiting on behalf of a growing, impact-driven charity based in Leeds, focused on providing meaningful support that leaves a lasting legacy on the lives of children. The charity is responsible for some of the most prolific and recognised events in Yorkshire, with highly reputable supporters as part of their network.

This is a unique opportunity to add real contribution at a senior level as the Executive Personal Assistant to the charity's CEO. As the CEO's trusted partner, you will manage both professional and private responsibilities, offering critical support across various areas of the charity. The ideal candidate will be highly proactive, adaptable, and excited to learn the inner workings of a dynamic charity, gaining exposure to departments such as Events, Marketing, and Programmes.

Key Responsibilities of the Executive Personal Assistant:

  • Inbox and Diary Management: Manage the CEO's emails, prioritising and responding on her behalf when needed. Organise her busy diary, scheduling meetings, and travel with a proactive approach to avoid conflicts.
  • Travel Coordination: Organise national travel for meetings with trustees, benefactors, and beneficiaries.
  • Meeting Support: Attend meetings with the CEO, take minutes, flag action points, and ensure follow-ups are completed.
  • Document Management: Keep policies, reports, and meeting documents up to date, helping prepare materials for Trustee meetings.
  • Private PA Support: Handle personal tasks for the CEO, such as organising family appointments, purchasing gifts, and managing errands.
  • Cross-Functional Support: Assist the charity's wider team with administrative tasks, supporting Events, Marketing, and Programmes as needed.
  • Stakeholder Communication: Build relationships with key trustees, supporters, and benefactors on behalf of the CEO.

What We're Looking for as the Executive Personal Assistant:

We are seeking a skilled Personal or Executive Assistant who thrives in a demanding environment. This role requires an individual with excellent organisational skills, initiative, and the ability to make quick decisions. You should be proactive, energetic, and comfortable working autonomously. You will truly be an extension of the CEO so trust, discretion, and commitment are essential.

  • 3-5+ years' experience as a Personal or Executive Assistant at C-Suite/Director level.
  • Strong organisational skills able to independently manage an extremely busy and dynamic workload.
  • Professional communicator able to build relationship with senior stakeholders including Supporters and Trustees, communicating on the CEOs behalf.
  • Strong written proficiency with a focus on accuracy and professionalism.
  • Excellent prioritisation skills - this is an extremely busy role and every day is different, it is essential to effectively manage the CEOs priorities.
  • Willingness to adapt to evolving duties and take on diverse tasks.
  • Positive, self-motivated, and able to build strong working relationships in a small but collaborative team.
