Facilities AssistantLocation: Winchester SO21 2SW Pay: £13ph Time: 8am- 4pmTemp to Perm Monday to Friday As a Regional Administrator, you will work closely with all Contract Teams and contractors to ensure all support functions are delivered in a timely and accurate way. In addition to the principal accountabilities, will support the delivery team where cover is required or to assist other regions. Must be focused on customer care. Responsibilities:
- Reception- Meeting/greeting visitors/contractors.
- Completing day to day Office duties.
- Order, purchase and process invoices for goods and services in line with company procedures.
- Manages P-Card inbox, inputting data into BOTH My Vision and Planon
- Arrange, participate in meetings and conference/project team activities.
- Update and maintain staff records including ID cards, parking permits, first aiders and fire wardens list.
- Raising, updating and closing Planons for reactive repairs.
- Dealing with contractors on site, issuing keys, arranging access requests.
- Assisting Regional Manager -
- Arranging meetings with engineers - minutes/agendas.
- Closing/chasing/raising Planons - PPM's and reactive where required for engineers /manager.
- Dealing with procurement card queries, receipts, invoices for engineers.
- Photocopying and collating/logbooks.
- General admin tasks as required.
- Working on the Training Matrix
- Arrange company print - SW Logo letterheads/envelopes/POD PADS etc - Currently the artwork and logo details are being transferred over from Office Team to Lyreco. We are not sure of what decision will be made with regards to who will be placing orders for SW print.
- Occasional assisting the Cleaning Manager with administrative tasks
Essential:
- Computer literate good knowledge of Microsoft applications this including excel and Outlook.
- Demonstrate excellent teamwork.
- Keen awareness of customer focus and brand image and safety awareness
Desirable:
- Experience working within FM Environment
