As a luxury fashion company with a strong ethical standpoint we are leaders and innovators in our industry.OverviewOverseeing the day-to-day delivery of FM activities and management of FM service providers across a retail portfolio of 12 stores and concession sites in the UK, France and Spain, as well as HQ and storage facilities. Reporting to the Global Head of Facilities supporting with overall administration responsibilities for retail maintenance, ensuring health and safety standards are met and safeguarding legal compliance.Your Mission:
- Main point of contact for Facilities in EMEA.
- Key holder for all UK sites, responding appropriately to emergencies or urgent issues.
- Maintaining the Facilities sharepoint, reviewing regularly to ensure all documentation is up to date.
- Administration of all PPM, Statutory and compliance maintenance for EMEA, including scheduling, status tracking and follow-up.
- Log all reactive calls with suppliers, minimising wherever possible and ensuring issues are followed up and closed out efficiently.
- Key contact for contractors and suppliers, ensuring high levels of service are maintained. Review RAMS where required to ensure safe working.
- Carry out H&S checks for all EMEA sites, completing drills, tests, and audits where required.
- Monitor and record all H&S-related incidents, ensuring all accidents and near-misses are logged and acted upon.
- Schedule H&S training and compliance checks for EMEA, ensuring compliance with local regulations.
- Carry out Risk Assessments for EMEA, ensuring all potential risks are highlighted and mitigated where possible.
- Support the Global Facilities Team to complete duties and projects as required, particularly during holidays/sickness.
- Supporting Global Head of Facilities with budget processes.
- Partnering with Sustainability to deliver sustainability targets, implementing initiatives to save energy and reduce waste wherever possible.
- Holiday cover for Office Manager (including Post Room, Reception and H&S Induction cover as required).
- Occasional travel for work (i.e. store visits and fashion shows).
Your Talent:· Experience working in a facilities role within a multi-site and retail environment.· Ability to communicate all levels with the business and supplier & contractors.· Knowledge of statutory maintenance and testing compliance.· Experience dealing with risk assessments, audits and accident investigations.· An IOSH certification would be a benefit but not essential.· Proactive, innovative, and responsive.· Good organisational & planning skills.· Pragmatic and good communication skills.· Able to multi-task and work under pressure.· Proven administration skills and Competent PC skills (Word, Excel, Outlook, PowerPoint.RewardOur philosophy is to go beyond monetary return and consider ourselves responsible for your wellbeing, your family, your health, your time and the community.
