Job Description :

Location: Twickenham (moving to Weybridge early next year)

Working Hours: 9am to 6pm, Monday to Friday

About the Role: We are seeking a dedicated Facilities Coordinator to ensure the smooth operation of our offices and warehouse. You will work closely with our Admin & H&S Manager to maintain a safe and efficient workplace, while also supporting our dynamic reception team.

Key Responsibilities:

  • Building Management:
    • Oversee maintenance and repairs of building installations.
    • Manage contracts for utilities and services (e.g., electric, gas, water, cleaning, security).
    • Coordinate new building projects, including budgeting, contractor management, and project oversight.
    • Communicate with stakeholders about building-related matters.
    • Handle telephone system and mobile phone maintenance with the IT department.
    • Manage daily server backups and off-site storage.
    • Arrange for office and warehouse key cutting as needed.
  • Administrative Support:
    • Cover reception duties during the receptionist’s breaks and absences.
    • Gather quotes and place orders for general and special project purchases.
    • Record and manage department credit card transactions monthly.
    • Maintain and manage company merchandise stock levels, orders, and records.
    • Prepare outgoing parcels for company swag.
  • General Duties:
    • Perform any other administrative tasks as required.

  • Adaptable and able to work independently in a fast-paced environment.
  • Proficient in Microsoft Office.
  • Strong written and verbal communication skills.
  • High attention to detail and accuracy in data entry.
  • Self-motivated and able to prioritize workload effectively.
