Job Description :

Reed Accountancy are currently partnered with an established client in the West Sussex area who are seeking a proactive and organised Finance and Office Assistant to join their small team.  This role involves a wide range of administrative, financial, and facility management tasks, ensuring smooth operations within the organisation. The ideal candidate will be a key player in maintaining our office environment and supporting the team across various functions.

Day-to-day of the role:

  • General Administration Tasks:
    • Approve invoices and handle postal and filing tasks.
    • Order office supplies as needed and assist with annual audit queries.
    • Answer mainline phone calls and perform ad-hoc duties to assist the team.
  • Finance & Payroll:
    • Prepare and check payroll, run reports, and manage pension submissions.
    • Handle billing for spare parts and service contracts and manage fuel and credit card reports.
    • Assist with finance-related queries from the overseas team and manage employee expenses.
  • Building & Facilities Management:
    • Liaise with the landlord regarding building maintenance issues.
    • Manage the company car fleet, including maintenance and investment requests.
  • Employee Benefits & Welfare:
    • Manage employee benefits such as private healthcare and life assurance.
    • Handle onboarding and offboarding processes and administer the E-days holiday system.
  • Communication & Customer Service:
    • Liaise on billing of accessories and projects and assist the service team with spare parts orders and quotations.
    • Resolve issues related to engineer's fuel and credit cards.
  • Other Responsibilities:
    • Administer the mobile phone account, manage insurance documents, and handle bookings and KPI management.

Required Skills & Qualifications:

  • Proven experience in finance and administrative roles.
  • Strong organisational and multitasking abilities.
  • Excellent communication skills and the ability to handle multiple stakeholder queries.
  • Proficiency in Microsoft Office and experience with financial reporting and payroll systems.
  • Ability to work independently and as part of a team.
