The Company:

VMS (Fleet Management) Ltd is part of the fast growing VMS Automotive Group offering a range of services comprising of Contract Hire & Fleet Management, Accident Management as well as offering Maintenance Services from our inhouse workshops and a leading provider of transport refrigeration systems, air conditioning solutions and converting panel vans into commercial, refrigerated vehicles.  VMS Automotive operate nationwide with workshops and vehicle hire sites throughout the UK with our Head Office based in Stevenage and our Operations centre based in Bury St Edmunds.

VMS have built a strong, dynamic client base and pride ourselves on customer retention. Customer service and client focus are paramount to the business, and as a result, a Fleet Administrator is now required to work onsite at our client’s office.

The Role:

The role of the Fleet Coordinator will require an extremely methodical and personable individual. In addition, you will have a keen attention to detail and be self-motivated to ensure smooth administration procedures for a major account are always followed to. The role is office based and working from Iceland Foods head office in Deeside.

The primary aim of the role is to ensure that the customers s needs and requirements are met and that the overall service level agreement is delivered in an efficient and timely manner. 

The key day-to-day responsibilities of this role are varied and include:

  • Build close working relationships with members of the Iceland Digital Operations Team and VMS Key Account Manager
  • Dedicated Fleet support for Iceland Stores and Area Managers
  • Actively manage service closures for the customer when impacted by van availability.
  • Ensure routine maintenance appointments are attended and managed with stores
  • Management of van locations across the Iceland Store network
  • Facilitate vans moves between stores as and when required.
  • Build close working relationships with Iceland stores and the Area Manager
  • Provide Administrative support to the Digital Operations Team
  • Liaise between client stores and Fleet Management provider daily on varied escalations.
  • Solve incoming telephone queries from Iceland Stores and Area Managers
  • Take ownership of and resolve complaints.
  • Audit internal databases and systems

Key Skills Required:

The ideal candidate will be:

  • Experienced in Retail or Fleet related roles.
  • able to confidently communicate, both orally and written
  • detail oriented and technically minded.
  • able to work in a team and on own initiative.
  • able to efficiently utilise different computer and communication software applications with strong excel and organisational skills.
  • able to successfully manage their own time and workload.
  • a proactive person and seek to prevent problems.
  • comfortable working with all levels up to senior management.
