Aim of Role:

The hire desk/fleet coordinator is responsible for managing the hire process of all road sweepers and sprayers (where required) to our customers. This will include, handling enquires, processing orders, scheduling hire times/dates and providing excellent customer service levels throughout the hire period. The role requires strong organisational skill, attention to detail, flexibility and excellent communication skills.

Job Summary:

  • Handle incoming enquiries from customers regarding vehicle availability, pricing and specification.
  • Process orders accurately and efficiently, ensuring all necessary documentation is completed.
  • Maintain growth and retention strategies agreed through the wider business.
  • Coordinate the allocation of road sweepers and sprayers based on customer demands and operational requirements.
  • Collaborate with the National Hire Manager to optimise fleet utilisation and efficiency, identifying opportunities for cost savings and operational improvements.
  • Ensure regular communication to the drivers and customers across the business.
  • Support the business with the promotion and upselling of products and services across the business.
  • Ensure contractual and SLA obligations are adhered to.
  • Maintain accurate records of vehicle availability, bookings and customer details in the operating system.
  • Work with the maintenance team to ensure that all vehicles are serviced and maintained according to schedule, minimising downtime and maximising customer satisfaction.
  • Participate in regular team meetings and contribute ideas for improving efficiency and effectiveness.
  • Proactive customer management within the division is important, ensuring a customer is contacted when we know there will be an issue with service levels.
  • Sorting and actioning workshop charges.

  • Monitor H&S standards and enforce action (where appropriate)
  • Comply with Thriplow Group H&S standards, legal requirements, and best practice within the business.
