Job Title: Freight & Logistics Lead

Location: West Yorkshire, Pontefract (On-site) 

Salary: Up to £37,000 (depending on experience)

The Advocate Group is proud to be partnering with a global FMCG business, looking for a Freight & Logistics Lead to join their internal logistics function.

The role is responsible for coordinating international shipping and logistics to various manufacturing locations, warehouses and customers internationally, covering both import and export.

Key Responsibilities:

  • Shipping Coordination: Confirm shipping instructions and document requirements for Purchase Orders, ensuring smooth processing.
  • Document Validation: Review and approve draft shipping documents from origin points, address any shipping issues, and send the approved documents to the Forwarding Agent.
  • Final Documentation: Validate and forward all final shipping documents to Forwarding Agents, factories, and customers.
  • Invoice Processing: Review and approve Purchase Invoices from manufacturers, enter details into the system, and generate necessary company documents, including customer invoices.
  • Order Tracking: Monitor order progress from shipment to port and during ocean transit to ensure timely customer delivery. Provide regular delivery updates to customers.
  • Consignment Management: Generate Consignment Notes for deliveries to UK storage or third-party facilities, detailing delivery requirements.
  • Transport Organisation: Arrange transportation for customer deliveries from UK warehouses or third-party locations via air, sea, or road. Liaise with suppliers and manage documentation.
  • Customer Invoicing: Generate and provide invoices to customers for goods from the UK warehouse or other storage locations. Process and approve storage and transport invoices.
  • Sample Shipping: Manage the shipment of samples as requested from the UK warehouse or third-party storage facilities.
  • Shipping Tracker Maintenance: Maintain internal and external shipping trackers to ensure accurate records.
  • Customer Service: Respond promptly to customer inquiries, providing delivery estimates based on lead times and planning agreements.
  • Meetings & Coordination: Attend weekly meetings with relevant teams to review factory Order Fulfilment Schedules and understand any production updates affecting deliveries.
  • Stock Management: Ensure alignment on available stock at third-party warehouses for customer inquiries, integrating with the SI&OP process.
  • Documentation Liaison: Collaborate with company Technical teams to manage customer documentation, questionnaires, and specification requirements, ensuring timely completion.
  • Freight Quotes Management: Maintain and manage the freight quote database, providing timely quotes to the Commercial team.
  • Customs & Documentation: Serve as the primary contact for customs and documentation queries.
  • Contract Management: Ensure competitive contracts with shipping lines and airfreight agents for required companys routes.
  • Supplier Performance: Monitor and manage supplier performance.
  • Cost & Performance Reporting: Track and report freight costs for shipments and handle month-end reporting, including OTIF, distribution costs, and third-party performance.

Requirements:

  • International Shipping Expertise: Experience in international shipping procedures, including import/export, documentation, and customs regulations.
  • INCOTERMS Knowledge: Thorough understanding of INCOTERMS 2020©.
  • Business Systems Proficiency: Familiarity with business systems; experience with Microsoft AX is advantageous.
  • Customer Service Skills: Strong orientation towards customer service with relevant experience.
  • Cross-Functional Collaboration: Ability to effectively manage multiple interfaces across the organization to meet customer needs and manage time efficiently.
  • Communication Skills: Excellent written and verbal communication abilities.
  • Cultural Competence: Proven ability to work effectively across diverse cultures.
  • Customer Confidence: A proactive, confident, and bright demeanour that instils customer confidence in the company as a reliable supplier.
  • Attention to Detail: Strong attention to detail.
  • IT Proficiency: Competence in Microsoft applications, including Outlook, Word, PowerPoint, and Excel.
