Job Description :

We have a fantastic opportunity working for a membership organization for medical professionals in Windsor. We are looking for a bright, personable and highly efficient Graduate Events Assistant with superb communication skills to join their team.

The Events Assistant will provides proactive administrative and organisational support to the Events team toward the efficient and effective delivery of the events portfolio. Working within a small but specialist team, the role provides an exceptional opportunity for learning across event planning and logistics, ideally suiting a recent graduate with an interest in a career in events or project management.

We would be interested in graduates who have some event management experience and who have done some international travel.

Hybrid role, 2 days in the office in Windsor, and 3 working from home. Salary is £25k - £27k plus excellent benefits.

Duties and Responsibilities

  • Project assistance to the Events Team Managers
  • Act as a first point of contact for events enquiries
  • Provide support with faculty - invitations, CVs, accommodation, travel
  • Assist with the management of the online event programme
  • Registration processing
  • Assist with venue research and supplier liaison including; catering, transport and housing, social programme and transportation
  • Assist with the creation and distribution of event materials, working with in-house departments as well as external suppliers and contractors
  • Registration support as necessary - delegate and Industry registrations, administering grant and fellowship applications, sending out joining instructions, post event surveys etc
  • Assist with communications activities including content on website pages, postings on social media and circulation of e-blasts and event platform notifications

Skills/Experience

  • Exceptional communication and organisational skills, attention to detail and a high level of professionalism
  • Ability to provide effective organisation and administrative support across multiple, complex, cross organisational groups and projects
  • Excellent interpersonal skills with the ability to confidently build and develop effective working relationships with a wide range of individuals
  • Experience of working to deadlines and resilient under pressure
  • Excellent problem solving and analytical skills, with the ability to identify potential problems and resolve them effectively and independently as possible
  • Ability to use IT to create and edit a range of documents and materials is essential
  • Interested and proficient in the use of social media to market / promote activities
  • Commitment to working collaboratively and flexibly as part of a team
  • Happy to travel internationally once or twice a year
