Job Description :

Due to the ongoing growth of our business, we are seeking an enthusiastic Administrator to join our Early Careers Development team in our multi-national defence systems business.

Dynamic (hybrid) working: Typically for this role you will work where most effective for the role, Stevenage Site Based but can work from home attending Stevenage and other sites/ locations in the UK as required by the role. There will be a requirement to be on site at Stevenage if required to cover for the L & D Administrator for holiday / other absence.

Due to the ongoing growth of our business, we are seeking an enthusiastic Early Careers/Apprenticeship Administrator or HR Administrator to join our Early Careers Development team in our multi-national defence systems business.

Reporting to the HR Manager for the Early Careers Programmes, this person will work in our Early Careers Development Team to professionally represent MBDA and the Early Careers Development Programmes internally and externally as required by the role.:-

The opportunity:

  • Work or own key projects for the Early Careers team
  • Co-ordinate, plan arrange the Early Careers Development Core Programmes including engagement with External Partners and MBDA stakeholders to ensure the planning and successful delivery of the ECP Core Development Programmes.
  • Engagement with external partners and MBDA stakeholders to ensure the planning and successful delivery of the ECP core development programmes
  • Manage/ order the required kit & equipment for the ECP Core Programmes
  • Ensuring the training system is updated with relevant course bookings and attendance and maintain the ECP programme tracker as required
  • Deployment, Tracking and processing of cost activity relating to the ECP Development annual cost budget
  • Manage and track payments to suppliers for timely payment, budget purposes/year end accruals. & administering Donation and Sponsorship applications for ECP team.
  • Set up and maintain Apprentice Levy records on HMG account. Ensure records are maintained accurately in conjunction with the Training Providers and ensure the available Levy pot is up to date
  • Management of day to day queries into the ECP Development Team as required
  • Working with the aligned HRA & ECP Placement to maintain ECP intranet pages, CSN pages & collaterals. Posting on the CSN's as required
  • Identify and implement improvements to processes and procedures within area of responsibility
  • Ensures payment of agreed allowances for ECP's on External or Secondments and other ECP payroll activity each month.
  • Support & provide guidance to the ECP Development placement, ECP CSR Cohorts , ECP Project teams as required
  • Reviewing and/or producing ECP Awards submissions
  • Support the Investors for People activity as required for our annual and 3 year reviews plus other accreditations
  • Ensure Security Induction, Security and Defence and Refresher training is completed by all UK employees as required. Maintain and update records and escalate issues to Security team where required.
  • Carry out administrative activities to facilitate the smooth provision of HR services to our customers.
  • Prioritise own workload in order to meet deadlines without compromising quality standards and check own work for accuracy and completeness
  • Support the wider L&D team with queries, general administration and invoicing as required.
  • Take responsibility for any L&D related queries made by telephone and ensure customers receive satisfactory responses at all times in the absence of the L & D Administrator
  • Provide absence cover for the L&D administrator as required

  • Experience of working in a fast paced, busy multi-site team, managing multiple priorities
  • Strong proven administrative skills in a previous similar role, preferably with Early Careers programme exposure
  • L&D / Early Careers / Apprenticeship / HR / Engineering or Technical experience desired
  • You will be a clear and credible communicator, trustworthy with the ability to maintain confidentiality and a passionate advocate for Early Careers Programmes
  • You will be proactive and resilient, with the initiative and real drive to achieve results
  • You will be thorough and well-organised with the ability to think and plan ahead in a very busy and changing environment that loves acronyms!
  • You will build strong working relationships with colleagues, customers and suppliers and will be an ambassador for the team, Learning & Development,  Early Careers, the HR function & MBDA
  • You will be aware of your own impact on others, confident using a variety of influencing styles, and will be comfortable communicating with others at all levels of the organisation.
  • You will be able to work flexibly as some travel to Bristol or Bolton and other locations will occasionally be required
