IFA Administrator

We are seeking a Senior Administration Support professional to join our team. This role is crucial for providing robust support to Para Planners and ensuring efficient operation within our financial planning processes. The ideal candidate will have a strong background in financial services, preferably with an Independent Financial Advisor (IFA), and exhibit a high level of IT aptitude and customer communication skills.

Day-to-day of the role:

Communications

  • Handle incoming calls and enquiries, ensuring prompt and professional responses.
  • Contact clients via phone or email to arrange meetings, manage scheduling through Outlook, and confirm appointments.
  • Maintain clear and effective communication with all stakeholders.

Preparation

  • Draft meeting checklist summaries and collate meeting packs including disclosure documents and applications.
  • Update valuation schedules and produce performance graphs using Financial Analytics.
  • Generate Fund Fact Sheets and update client Income in Retirement Timelines using CashCalc.

Briefing

  • Attend and take detailed notes during RS debrief meetings.
  • Update feedback to the IO system and relay notes onto letters or emails for RS post-meeting summaries to clients.
  • Ensure notes are copied to Paraplanners for accuracy and completeness checks.
  • Set and maintain accurate task workflows.

Actions

  • Manage and send off letters of authority (LoAs) to product providers and diarise follow-up actions.
  • Complete and dispatch any relevant paperwork to providers or clients as necessary.

Pipeline

  • Track progress of all written cases awaiting issue to ensure timely payment of fees.
  • Liaise with providers, clients, GPs, and third parties to facilitate case progress.
  • Provide feedback to Para Planners or RS as necessary for information or to progress cases.

Required Skills & Qualifications

  • Strong understanding of financial planning processes and general compliance, including FCA requirements.
  • Experience in financial services, ideally with an IFA.
  • Proficient in report writing and able to achieve agreed outcomes independently.
  • Excellent customer communication skills and IT aptitude.
  • Flexibility, tenacity, and the potential pursuit of relevant financial planning qualifications are advantageous.
