We are well established property lawyers based in Guildford, Surrey looking to recruit a dynamic Legal Assistant to join our friendly team.

About the Role

Job type: Full time (9am-5pm, Monday to Friday)

Salary: £27,000 - £35,000 (dependent on experience and relevant qualifications)

Location: Head Office, Onslow Village, Guildford, Surrey

This role will assist the experienced Partners in their day to day work by providing support and an efficient administrative service with the opportunity to develop their skills further. This role will own a case load of sale transactions, ensuring all clients receive a high quality and efficient service.

This position would suit someone who is looking to work within a small friendly busy team and happy to take the lead on tasks in order to best support the team.

Key Responsibilities

  • Act as the initial point of contact for clients, providing friendly and professional assistance.
  • Answer phones promptly and professionally, ensuring excellent customer service during all interactions.
  • Maintain clear and effective communication with clients and colleagues to ensure smooth operations.
  • Accurately log client requests, ensuring all relevant information is recorded.
  • Deal with any queries in a timely manner.
  • Provide clients with relevant quotes using the CMS for guidance.
  • Support the Partners with administration tasks including printing contract packages, assisting with post exchange procedures, preparing files for completion etc.
  • Manage a case load of sale transactions from the point of instruction to closure of file (with guidance from the partners where required).
  • Manage a post completion procedure including submission of AP1s, dealing with any Land Registry requisitions for all files with collaboration of Partners.
  • Assist with file opening and conversion of instructions.
  • Support the firm by following existing policies and procedures.
  • General administrative support e.g. post, replenishing office stocks etc.
  • Any other related tasks that may arise in the course of employments

Requirements

The ideal candidate would have:

  • Experience working in Residential Conveyancing (Essential)
  • Strong communication skills both written and verbal
  • Excellent interpersonal skills
  • Polite, helpful telephone skills
  • Strong administration and organisational skills
  • Ability to work on own initiative and be part of a team
  • Computer literate, including Microsoft packages
  • Experience using a Case Management System (CMS)
  • Excellent time management skills and the ability to prioritise work
