As part of our ongoing growth, I am seeking a highly organised and proactive Office Administrator with Personal Assistant and Office Manager responsibilities to join their team.
Job Summary:
This is a varied role that combines administrative, PA, and office management duties. The ideal candidate will be highly organised, have excellent multitasking abilities, and thrive in a fast-paced, creative environment. You will support senior management with PA duties while ensuring the smooth operation of the office and providing administrative support to the wider team.
Key Responsibilities:Personal Assistant (PA) Duties:
- Diary management for the managing director including scheduling meetings and appointments.
- Email management: Monitoring and responding to emails on behalf of senior management.
- Travel coordination: Booking flights, accommodation, and transport for both business and personal needs.
- Meeting preparation: Organising agendas, minutes, and materials for meetings; arranging client meetings and company events.
- Document preparation: Assisting with presentations, reports, and general correspondence.
- Confidentiality management: Handling sensitive information and documents with discretion.
Office Administration:
- Front desk support: Welcoming visitors, answering calls, and managing inquiries.
- General administrative support: Handling incoming and outgoing mail, ordering office supplies, and organising couriers.
- Database management: Maintaining accurate records, client databases, and filing systems.
Office Management:
- Office maintenance: Ensuring the office environment is well-maintained, including liaising with vendors, contractors, and IT support.
- Health & safety compliance: Maintaining health & safety records, organising first aid training, and ensuring office policies are up-to-date.
- Event coordination: Organising team events, client meetings, and internal staff activities.
- IT & equipment management: Managing office equipment (printers, phones, etc.) and troubleshooting basic IT issues with the help of the IT team.
- Facilities management: Overseeing any repairs, improvements, or refurbishments in the office space.
