Purpose of the job

The Office Administrator serves as the backbone of the operations and projects team, ensuring the smooth coordination and execution, by providing essential administrative support.

This role is critical for maintaining organisation, tracking progress, and enabling effective communication between stakeholders. By managing documentation, monitoring timelines, and assisting with budget control, the Office Administrator helps to ensure that projects and business as usual operations are delivered on time, within scope, and in alignment with organisational goals.

This position is key to creating efficiencies, addressing challenges proactively, and supporting the team in achieving successful outcomes.

The Office Administrator is accountable for several key tasks and responsibilities, not limited to, but including:

Project Coordination and Support:

  • Assist Project Managers in planning and delivering projects according to agreed timelines and objectives.
  • Monitor and track project tasks, milestones, and deliverables using project management tools and software.

Documentation and Reporting:

  • Prepare, organise, and maintain comprehensive project documentation, including project plans, risk registers, and progress reports.
  • Record and distribute accurate meeting minutes and action logs from project meetings.
  • Create and present regular status updates and reports to stakeholders, ensuring transparency and accountability.

Communication and Stakeholder Engagement:

  • Act as a central point of contact for project-related queries and communications.
  • Liaise with internal departments, external contractors, and stakeholders to ensure seamless project coordination.
  • Maintain clear and consistent communication channels to keep all parties informed and engaged.

Financial and Resource Administration:

  • Process purchase orders, invoices, and expense claims accurately and on time.
  • Support the allocation and scheduling of resources, including staff, equipment, and materials.

Administrative and Operational Support:

  • Manage schedules, including organising meetings as required.
  • Maintain an efficient filing system for project records, both physical and digital.

Experience / Skills / Competencies:

  • Previous experience in an administrative role, ideally in a project-focused or similar environment.
  • Strong written and verbal communication skills, with an emphasis on clarity and professionalism.
  • A proactive, problem-solving approach and meticulous attention to detail.
  • Ability to work both independently and collaboratively as part of a team.

Education / Qualifications:

  • A qualification in business administration, project management, or a related field is desirable.
  • High proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Knowledge of SimPro Software desirable.
