Office Manager

We are seeking a proactive and experienced Office Manager to oversee all administrative duties in our busy office in the Heart of Glasgow City Centre within the professional services industry. This role is perfect for someone who thrives in managing both people and processes, ensuring smooth operations across various administrative functions.
Day-to-day of the role:
- Manage a support team of three, including a secretary, admin assistant, and office assistant.
- Perform Personal Assistant duties as needed on behalf of partners.
- Provide secretarial support to the team during busy periods, and cover for holidays.
- Manage IT coordination with our IT partner and outsourced IT company, including implementing and improving processes, holding regular IT meetings, and reviewing ongoing contracts such as photocopiers and franking machines.
- Handle all aspects of office management including health & safety, internal processes aimed at creating a paper-light office, liaising with external suppliers/contractors, and office maintenance.
- Maintain office expenditure including monthly credit card, pay-in, and cheque reconciliations.
- Book staff training and liaise with external trainers and companies.
- Manage communications to clients and maintain the organisation’s website.
- Organise regular boardroom lunches, staff days out, Christmas parties, and internal staff celebrations.
- Undertake all other general administration tasks as required.
Required Skills & Qualifications:
- Proven experience as an Office Manager, preferably within the professional services sector.
- Strong leadership skills with experience managing small teams.
- Excellent organisational and multitasking abilities.
- A proactive approach to problem-solving.
- Competency in IT management and familiarity with office management procedures.
- Excellent communication skills, both verbal and written.
