Job Description :

My client are seeking a highly organised and dynamic Office Manager to join their team at a leading construction company. This role is crucial for ensuring smooth operations across various departments, from site setups to HR compliance. The ideal candidate will be a central figure in managing both day-to-day office tasks and broader administrative responsibilities.

Day-to-Day Responsibilities:
  • Assist in the site setup and pre-construction process.
  • Manage social media accounts and assist with content creation.
  • Maintain the company website and update brochures.
  • Compile Operation & Maintenance (O&M) folders, subcontractor warranties, and as-built drawings.
  • Oversee subcontractor software and manage company site printing and office supplies.
  • Assist in preparing Pre-Qualification Questionnaires and manage client and stakeholder reviews post-project completion.
  • Coordinate End of Service (EOS) gatherings and lead the EOS system throughout the business.
  • Act as the company social secretary and team-building manager, planning engaging team events.
  • General office management including managing multiple internal custom-built software systems.
  • Handle HR and legal compliance tasks such as preparing employee contracts, updating HR policies, managing holiday rosters, ensuring GDPR compliance, handling appraisals, and maintaining employee records.
  • Manage all company insurances and the company fleet, including associated accounts like parking and congestion charges.
  • Oversee utilities, cleaners, and rent management, as well as the management of the rental portfolio.
  • Provide assistance with PA duties to the Director and cover for colleagues during holidays or absences.
Required Skills & Qualifications:
  • Proven experience in office management, preferably within a construction or similar industry.
  • Strong organisational and leadership skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in managing social media platforms and content creation.
  • Familiarity with HR practices and legal compliance requirements.
  • Ability to manage multiple tasks and software systems efficiently.
  • A proactive approach to problem-solving and decision-making.
