Job Description :

My client is seeking an experienced Office Manager to oversee daily operations within their dynamic company, a growing business focused on innovation and sustainability. This role is crucial for ensuring efficient workflows, supporting senior executives, and managing office and vendor operations. The ideal candidate will have a strong background in office administration, executive support, and project management, with a keen ability to implement technology solutions that enhance operational efficiency.

Day-to-day of the role:

• Office Administration:

o Manage daily office operations to ensure efficient workflows and adherence to company policies.

o Maintain and oversee both digital and physical document management systems, ensuring GDPR compliance.

• Executive Support:

o Provide PA support to senior executives, including diary management, meeting scheduling, and correspondence.

o Assist with strategic planning tasks such as resource allocation and sales forecasting.

• Operations & Vendor Management:

o Manage office suppliers and third-party contractors to ensure timely procurement and payment processes.

o Oversee general office maintenance, health and safety compliance, and IT coordination.

• Project Support: o Coordinate project deliverables, including procurement, invoicing, and quality control processes.

o Support the delivery of operational and client-facing tasks, including reporting and project updates.

• Technology Integration:

o Lead the implementation and maintenance of new software solutions, such as chatbot and CRM systems, to enhance operational efficiency and customer engagement.

o Oversee day-to-day expense management, including invoice processing and supplier payments.

o Collaborate with finance teams to provide input on monthly cash flow, P&L reporting, and VAT compliance.

Skills & Qualifications:

• Minimum of 3 years’ experience in office management or administrative roles in a fast-paced, professional environment.

• Strong organizational skills with experience in managing projects and implementing operational systems.

• Proficiency in office software and experience implementing technology solutions, such as CRM systems or chatbot integrations.

• Excellent interpersonal and communication skills, with the ability to liaise across teams and external stakeholders.

• Knowledge of GDPR and health and safety regulations is a plus.

Preferred Attributes:

• Experience in the construction, architecture, or sustainability sector.

• Familiarity with financial reporting and invoicing systems.

• A proactive mindset with a passion for driving operational excellence.
