My client is a Professional services business seeking an Operations and Logistics Administrator to support our dynamic team in the day-to-day delivery of work. This role is crucial for ensuring the smooth operation of our business by performing a variety of multifaceted tasks. The successful candidate will bridge the gap between front office and back office, providing efficient and comprehensive administrative services.
Day-to-Day of the Role:
- Office Management:
- Manage business and fleet insurance, service, MOT, and maintenance of fleet vehicles.
- Monitor and negotiate costs of utilities, manage company mobile and office phones.
- Oversee premises maintenance, repairs, and management including compliance with Health & Safety and Fire regulations.
- Establish procedures to support efficient office operations, manage fixed assets, and handle uniforms and asset management.
- Operational Administration:
- Support the Operations Director with training arrangements for engineers, including updating training matrices and obtaining necessary certificates.
- Handle customer queries and process orders, ensuring efficient problem resolution and customer satisfaction.
- Manage asset disposal reports and liaise with partners and internal teams on asset disposal jobs.
- Operations & Logistics:
- Liaise with suppliers and arrange shipments, supporting project managers and service delivery management.
- Monitor supplier rebates and arrange travel and accommodations for overseas projects.
- Provide quotations for shop orders and materials.
- Support to Executives:
- Analyse costs involved in delivering services or products, support timesheets on jobs, and evaluate projects.
- Participate in and transcribe minutes for monthly directors and sales meetings.
- Manage executive appointments, travel arrangements, and maintain effective communication with key partners and stakeholders.
Required Skills & Qualifications:
- Proven experience in a similar administrative role, ideally within an operations or logistics environment.
- Goal-focused with excellent organisational skills, able to plan, prioritise, and deliver within agreed timelines.
- Proficient in Microsoft Office 365 (Teams, Outlook, Word, Excel) and logistics software.
- Strong communication and interpersonal skills, capable of effectively interacting with various stakeholders.
- Detail-oriented with strong analytical and problem-solving skills.
- A team player with a can-do attitude, willing to learn and develop within the role.
