Operations Coordinator Salary: £28,000 - £30,000
Based in Hammersmith
Hybrid role: 3 days in office, 2 at home
A global business consultancy is looking for an Operations Coordinator to join their team based in Hammersmith.
This is a unique role working across the company and their client, to support deployment and data management across the two systems. The role will work as the bridge between the two teams, cementing a working partnership and supporting the client's Global L&D manager, and the company's operations Lead.
The Operations Coordinator will provide logistical & administrative support to the company and its client to help execute global programs and manage multiple stakeholders.
Client-Side duties:
- Data Management: working across client and company systems to keep learner data accurate. Reporting back on feedback and completion data, and trends. Collating learner groups and verifying registered / target audiences for relevant programs
- Enrolment communications and management.
- Management of Program communications
- Session Attendance management: collating and sending weekly updates on completed and missed sessions, using data systems and excel. Sharing progress, and actions needed with key stakeholders to promote attendance.
Company Side duties:
- Owning project deliverables: executing with high quality and responsiveness
- Workshop or POD (Virtual Group Coaching) coordination
- Workshop logistics, including, but not limited to shipping of IT and ordering printed materials
- Supporting the finance department with the invoicing process
- Managing client SLA terms, responding to issues, and escalating to the Client Delivery team
- Build strong client relationships with key stakeholders; be the primary 'go to' for area of responsibility with your clients
- Work in close partnership with the client and internal account team to identify and action recommendations for process improvement that could benefit client and team ways of working
- Maintain accurate data on the business's ERP system and keep it in line with Operations KPI targets, addressing areas affecting performance targets.
Experience Required
- Organised, analytical, and experience of working on multiple projects simultaneously, with exceptional attention to detail
- Digitally savvy, ideally with experience using virtual meeting platforms and information management systems (ideally SuccessFactors, Salesforce or similar.)
- A relationship builder capable of managing various internal and external stakeholders
- Experience of working in project support, management
- Highly proactive; always a step ahead and on top of tasks at hand whilst keeping an eye on the long-term goals of a project
- Strong communication, able to relay instructions and decisions clearly both verbally and in writing
- Experience in using Microsoft Office Suite is required (Outlook, Excel, Word & PowerPoint.)
- Good Excel - Pivot tables/VLOOKUPs
- Familiar or knowledge of PowerBI
