Operations Manager - HR and Finance

£300 - 350 per day via Umbrella

Hybrid 2 days in London office

6 months + contract

An opportunity has arisen for Operations Manager to assume full responsibility for the management of professional services staff within this world leading organisation. You will lead the professional service operations of the department, delivering operational excellence across all administrative activities ,working closely with the Director of Operations to ensure the smooth running of the department

Duties and responsibilities

  • To manage the operational support team and to ensure the successful delivery of all support services.
  • To plan, manage, deploy and monitor systems to implement best practices and compliance with relevant
  • To manage any ad hoc or planned projects, as directed by the Director or Director of Ops
  • To work with colleagues to ensure that all staff are well managed and motivated and have opportunities for development.
  • To organize high profile meetings and events with the organisations partner institutions such as External Advisory Boards, at both national and international level

Finance / Resource Management

  • To support the Director of LCN and Finance Officer to set budgets, monitor in-year expenditure and
  • communicate positions within the Centre to ensure that annual financial performance targets are meet

HR and staffing

  • To line manage direct reports. This includes setting individual objectives, monitoring and managing performance, giving feedback and holding appraisal meetings, identifying training needs, coaching and mentoring and ensuring cover is satisfactory at all times.
  • To manage and ensure the provision of a professional operational service across the Department in the support of teaching and research, and to apply appropriate expertise and judgement in that delivery, both through managing others and by personally carrying out key operational functions.
  • Respond to and handle HR queries, policy or people matters in liaison with department / divisions, helping to navigate HR processes and teams
  • Support staff to carry out absence, attendance and probation process appropriately, applying policy, engaging with HR Business Partners where appropriate
  • Work closely with managers to resolve HR matters and areas for concern.
  • Cascade and communicate HR best practice and changes
  • Coordinate the end-to-end recruitment process on behalf of hiring managers, from role identification to onboarding ensuring compliance and consistency across all activity within the faculty.
  • Liaise with Finance and Research teams regarding funding agreements to ensure they are in place.
  • Review job descriptions and ensure standardisation across JDs in line with faculty approvals where necessary
  • Raise contract requests accurately and in good time, carrying out right to work and reference checks, ensuring all new joiners receive contracts prior to starting at UCL.
  • Initiate onboarding activities for new joiners (IT access, building access etc)
  • Monitor funding end dates for contract, advising on end of funding/termination procedures as appropriate and submit relevant transactions on HR system.
  • Ensure recruitment exercises are carried out in line with compliance requirements (eg Right to Work checks, certificates of sponsorship and visas) and enable a positive candidate experience
  • Manage reward processes such as accelerated increments, honoraria, and the junior and senior promotions processes.
  • To ensure proper procedures are in place to manage the Centre’s input to HR processes.
  • Ensuring all HR activity and processes such as payments, contract requests, and leavers are processed accurately and meet deadlines, personally processing and approving transactions as required.

Qualifications and skills required

  • Person Educated to degree level, or have equivalent qualifications or commensurate experience working as an HR professional.
  • A good understanding and knowledge of UK employment law & HR practices, and how to use appropriate judgement to apply it in a variety of complex and nuanced situations.
  • Proven track record in a senior role in administration, operations and management within a HE or similar environment,
  • Experience of promoting and providing excellence in areas of administration and the provision of support services.
  • Demonstrable record of effective management and leadership of a team
  • Experience of change management
  • Experience of UCL (or analogous) institutional systems primarily for HR,

Salary : 300 - 350
