Main Responsibilities:
- Perform day-to-day management of the Operations oversight & Control team covering Transfer Agency Oversight activities.
- Oversee and manage the team in the execution of operations activities including, but not limited to:
- Daily investor & fund flow reporting
- General Transfer Agency oversight activities
- CASS oversight related activities including daily reconciliations, CMAR reporting, CASS breach oversight, MI reporting, CASS policy oversight
- Complaint handling & oversight – ensuring regulatory requirements are met in the management of client complaints.
- Preparation of regulatory returns related to activities completed by or overseen by the Operations team
- Oversight of retail client AML & KYC documentation and processing
- Reporting and management information
- Trend Analysis
- Other Operations related activity
- Support with the team in the completion of other oversight checks on outsourced activities to ensure service delivery is maintained to agreed standards
- Establish and maintain good working relationships within the team, with other departments.
- Promoting the profile of the Operations team within the business to deliver positive outcomes.
- Ensure that knowledge is maintained across within the team, with adequate training plans in place, taking the lead to ensure appropriate upskilling of all team members
- Act as the initial escalation point for the team and other departments in the investigation and resolution of day-to-day operational queries, issues and incidents. Escalation to senior management as required any material concerns of significant incidents.
- Hold one-to-ones with direct reports ensuring that individual performance is reviewed and assessed regularly, supporting individuals to achieve objectives and continued personal & professional development through documented development plans.
- Oversee the team in the preparation and maintenance of procedures, processes and controls documents, ensuring all department procedures and checklists remain up to date.
- Support and oversee the team’s engagement in project and change activity including fund change, client take on and transition activity.
- Support the team in the ongoing oversight of third-party administrator(s) and other third-party suppliers, including monitoring and recording of the timeliness and quality of deliverables.
- Proactively build and maintain relationships with Service Providers, liaising closely with them to ensure the service is delivered and that any queries/problems/issues are dealt with in accordance with agreed standards and in a timely, accurate and complete manner
- Support the Head of Operations Oversight & Control in succession planning, documenting plans across the team and identifying key individuals and the timeline for succession.
- Support the Head of Operations Oversight & control to oversee the first line control environment including documentation of the departmental control framework, identification of key and non-key controls and completion and maintenance of the departments risk control self-assessment (RCSA)
- Supporting management and senior leaders with implementing and delivering operating model and process change and project initiatives including documenting processes, process maps and control frameworks
- Delivery of monthly reporting, management information and other regular deliverables to senior management reporting on team performance of controls and any outcomes from regular service engagements with outsource providers, ensuring sign off within specified timelines and performing controls to ensure outputs are complete and accurate
- Management of issues and incidents, including root cause analysis, risk event reporting and determining/assessing remedial actions across both internal and external errors.
- Identify operational improvement opportunities and proactively propose solutions including new processes and controls with supporting rationale and evidence for the basis of change
- Maintain awareness of industry best practice and identify areas that are non-standard or where process improvement is possible, documenting processes and proposing solutions
- Ensure that risks across the team are identified and risk events reported in line with policy, including risk events relating to third party providers, and define and deliver the actions required to mitigate risk in a timely manner
Desired Attributes and Skills:
- Previous experience managing and leading high performing team
- Extensive TA Oversight experience within Investment Management
- Demonstrable technical knowledge across a range of investment instruments, fund types and products – experience of closed end funds and/or Lux funds beneficial
- Proven organizational skills can demonstrate the ability to meet deadlines and undertake and manage multiple tasks.
- Team player who can build good relationships with colleagues internally and with external contacts
- Strong attention to detail and ability to deliver work to a high standard of accuracy
- Knowledge and understanding of the relevant regulatory environment
- Excellent written and verbal communication
- Ability to demonstrate a risk focus and understand the importance of identifying potential risks and of reporting risks to management and other relevant parties
- Ability to identify problems and incidents, work actively with others to resolve them and raise issues appropriately
- Experience in producing MI and regular reporting
- Understanding of a risk-based approach to internal control
