JOB DESCRIPTION JOB TITLE: Personal Assistant DEPARTMENT Energy Innovation Initiative OFFICE: LondonMAIN PURPOSE OF JOB Personal Assistant to the EX Unit General Manager (UGM) and effectively assist Energy Transformation Business Unit (EX) activities in relation to administrative tasks SCOPE OF JOB • PA support of the Head of EX (UGM) • Assist Deputy Head of EX • Organise and coordinate work to assist EX activities, including Pan-EU Hydrogen Dept., Pan-EU Bioenergy Dept. Battery & Energy Dept., Pan-EU CCUS Dept and Design & Strategy section. • Delivery of various administrative tasks • Preparation of various reports • Schedule management for UGM and wider business unit • Booking, planning and managing logistics for events and meetings • Systems and platform management as IT promoter for all EX members • Operational support of business line companies incl. SAIL • Accounting and financial closing support incl. preparing invoices, proceeding payments, setting up accounts and chasing up vendors • Document management • Communicate, liaise and negotiate internally and externally • PPT formatting • Minute taking • Work closely with related parties both internal and external, to assist members of the EX with administrative tasks • Support EX members and their IT promoters in regional offices in Oslo, Dusseldorf and Madrid5. QUALIFICATIONS/SKILLS/PERSONAL QUALITIES • Proactive communication skills with the ability to deal with a diversified range of internal and external individuals, clients, and stakeholders• Understands the importance of confidentiality• Good time management and organisation skills• Skilled in minute taking• Close attention to detail• Ability to use own initiative• Advanced PC skills (Word, Excel and Power Point)• Advanced design skills for presentation materials• Spoken and written Japanese language skill6.
