Job Description :
Role: Personal Assistant (PA)Location: Edinburgh, EH2Hours: Monday to Friday, 9:15 AM - 1:00 PM and 2:15 PM - 5:30 PMPay: £19.23 per hourStarting: ASAP (Approx. 3 months with potential for extension)We are seeking an experienced and highly organized Personal Assistant (PA) to support our client's directors and ensure the smooth running of daily business operations.Key Responsibilities:
  • Maintain action lists and progress records, ensuring directors have sufficient time to complete required tasks.
  • Provide audio and copy typing of correspondence, documents, and reports.
  • Manage the filing and retrieval of paper and electronic documents/emails, organized by entity and project.
  • Keep accurate business records and maintain the company's central address books, codes, and passwords.
  • Triage incoming post, draft responses, and escalate delays, when necessary, while maintaining confidentiality.
  • Liaise with solicitors and other professionals on behalf of the directors.
  • Provide accounting support, including preparing information for finance to send rent/service charge demands, processing expense recharges, and chasing debts.
  • Maintain a library of reports and assist with mailings such as annual accounts to shareholders and non-shareholders.
  • Diary and event management, including organizing and attending meetings such as the AGM and Christmas lunch.
  • Assist with purchasing and accepting deliveries, and handle office consumables as needed.
  • Provide cover for other PAs, including answering telephones, managing diaries, and assisting with outgoing post.
  • Help prepare meeting rooms, welcome visitors, and handle other ad hoc office tasks such as making tea/coffee and arranging lunches.
Skills and Qualifications:
  • Proven experience as a Personal Assistant or in a similar administrative role.
  • Strong organizational skills with the ability to multi-task and manage time effectively.
  • Excellent communication skills, both written and verbal.
  • Proficient in Microsoft Office Suite and confident handling electronic and paper records.
  • Ability to maintain confidentiality and act on your own initiative.
  • Experience in diary management, event planning, and working with solicitors/finance teams is desirable.
