Job Description :

We are currently looking to recruit an experienced Personal Assistant to join our Lettings Division. Your previous experience and excellent communication skills will enable you to provide professional secretarial and administrative support to the Managing Director and his Senior Management Team.

The responsibilities of a Personal Assistant to the Lettings Managing Director in Colchester

This is a challenging role which will require you to thrive in a fast moving, forward thinking environment whilst demonstrating a complete and varied range of personal assistant skills that fully support the Managing Director to strategically develop and grow the Lettings Division.

Your responsibilities will involve the following:

  • Reading, monitoring, responding to and/or distributing the MD’s emails with minimum supervision or guidance
  • Being the first point of contact for Lettings queries from internal staff
  • Preparing and distributing various daily/weekly/monthly leagues to internal staff
  • Answering calls and handling queries
  • Preparing correspondence on the MD’s behalf
  • Liaising with employees, clients & suppliers
  • Managing the MD’s electronic diary
  • Booking meetings
  • Organising travel and preparing complex travel itineraries including booking hotels, car parks and train tickets
  • Taking minutes and/or notes, including during interviews and, occasionally, formal HR meetings
  • Dictation
  • Planning, organising and managing events including senior management meetings
  • Attending events/meetings as the MD’s representative
  • Preparing presentations
  • Preparing papers for meetings
  • Managing and reviewing filing and office systems
  • Communicating, tracking, and fulfilling staff incentives
  • Managing projects
  • Reconciliation of credit cards and expenses within deadlines
  • Liaising with HR Admin to ensure appropriate approvals are sourced and starter and leaver paperwork is actioned in accordance with SLA’s

The skills and abilities you will require to be a Personal Assistant to the Lettings Managing Director in Colchester

  • Ability to meet deadlines
  • Can work independently
  • Strong IT skills
  • Attention to detail
  • Full UK Driving Licence
