JB388: Project Support CoordinatorSalary: £26,000 - £30,000 per annumLocation: East KilbrideOverview:First Military Recruitment are currently seeking a Project Support Coordinator on behalf of one of our clients.Our client encourages applications from ex-military personnel however all candidates will be given due consideration.Duties and Responsibilities for the Project Support Coordinator:

  • Answering contract related phone calls and connecting calls to the appropriate person within the contracts department.
  • Taking phone messages and passing them on.
  • Assist the site management teams as and when required.
  • Preparing new site box with site folders, site set up items / equipment (and ordering new items / equipment where necessary); check availability of equipment at Dixon Place.
  • Check PPE supplies for upcoming projects and place in new start box (procurement and management of PPE by others).
  • Print HS&E documentation for display on site accommodation walls.
  • Prepare neighbour notification letters and arrange for distribution.
  • Compiling / populating new site digital folders on Procore; obtaining required information as necessary by contacting relevant providers.
  • Drawing management on Procore and distribution as directed by management.
  • Procore administration across multiple projects.
  • Print / distribute paper copies (to scale) to site management of updated / revised contract drawings.
  • In conjunction with contract teams, update / maintain Project Directory on Procore; issue notifications of updates to contract team.
  • Considerate Constructors Scheme applications and communications.
  • Collation / filing of CCS inspections.
  • Uploading information to client portals.
  • Email communications with clients, contracts team, professional services, local authorities and supply chain as directed by CM’s.
  • Assist the CM to obtain quotations, ie, skips, materials, plant etc.
  • Monitor, update and take actions when necessary for project trackers.
  • Complete check on weekly site returns from site management; distribute tracker to CM’s.
  • Prepare letters and other documents as directed by CM.
  • Manage the O&M process in accordance with client requirements; chasing, follow ups, collation of required information and compiling of digital H&S file / O&M manuals; obtaining approvals from client / PD and producing paper copy for distribution to client.
  • On D&M housing projects, prepare and issue plot handover / O&M files.
  • Assist the CM in collating PC documents / building control completion documents using the Project Handover Checklist.
  • Ensure meter readings / meter photographs are recorded at project completion.
  • Produce training schedule at project completion.
  • Produce key schedule at project completion in conjunction with site management.
  • Produce H&S / O&M file sign off sheet at project completion.
  • Assist CM with snagging close out at project completion.
  • Complete post project return form, assisted by CM.
  • Update sub contractor KPI spreadsheet at project completion and arrange meeting with project team to carry out post project review / supply chain appraisal.
  • Issue client feedback document to client PM and follow up for response.
  • Update client feedback tracker when feedback is provided; circulate.
  • Collating returned site files and preparing for archiving.
  • Organising archive folder collection.
  • Attend weekly contract meeting.
  • Producing new control documents to assist with the project management process.
  • Assist the project CM / QS as and when required.
  • Provide support to the SHEQ Manager.
  • Provide support to Office Manager.
  • Provide support to Homes Sales Manager.
