They are seeking a dedicated Receptionist/Administrator to provide outstanding customer care and comprehensive administrative support. This role is pivotal in creating a welcoming atmosphere for every visitor and caller, ensuring smooth office operations and maintaining a tidy and efficient work environment.
Day-to-day of the role:
- Serve as the first point of contact for incoming enquiries, answering calls and emails promptly and courteously.
- Maintain the reception area, office spaces, and kitchen, ensuring they are neat, tidy, and well-stocked.
- Manage administrative tasks including filing, laminating, and handling mailouts such as leaflets and invoices.
- Assist in booking restaurants, cabs, and hotels as requested by the team.
- Manage office supplies including stationery and refreshments.
- Handle the occupancy of company car parking spaces and manage company post and deliveries.
- Maintain the office meeting rooms diary, prepare and maintain meeting rooms, and assist with the booking and scheduling of training and meetings.
- Support HR functions by assisting with documentation, reporting, and managing profiles on the HR system.
Required Skills & Qualifications:
- Proven experience in a receptionist or administrative role, preferably within a charitable or non-profit organisation, but NOT essential OR someone who has some office experience looking to work in a Receptionist role
- Excellent organisational and time management skills.
- Strong communication and interpersonal skills, with a focus on customer service.
- Ability to handle multiple tasks simultaneously and with attention to detail.
- Good practical skills for managing office equipment and supplies.
- Proficiency in using office software for email, scheduling, and data management.
