About the Role:

As the Office Administrator, you will play a pivotal role in ensuring the smooth operation of our administrative functions. You will be the first point of contact for visitors, provide crucial support to the Office Manager and Registered Manager, and ensure that our office runs efficiently.

Key Responsibilities:

-Administrative Support: Perform general administrative duties such as typing, copying, and scanning.

- Draft letters and emails on behalf of the company.

-Reception Duties: Greet and assist visitors, answer telephone enquiries, and provide a welcoming and professional front-of-house experience.

-Office Supplies Management: Monitor stationery levels and order supplies as needed.

-Filing Systems: Maintain both manual and computer filing systems to ensure up-to-date and accessible records.

-Confidential Information Handling: Manage sensitive information with absolute discretion.

-Meeting Support: Take accurate meeting minutes and distribute them to relevant parties.

-Office Coordination: Resolve administrative issues and develop systems to improve efficiency.

-Communication: Respond promptly and professionally to enquiries via email, telephone, or face-to-face.

-New Starter Onboarding: Assist with staff onboarding, including completing references, ID checks, and induction documents.

-Staff and Contract Management: Manage staff appointments, training compliance, and contracts.

-Mail Management: Sort and distribute incoming post and manage outgoing mail.

-Archiving: Organise and archive paperwork on a monthly basis.

What We're Looking For:

-Proven experience in a similar role (e.g. Receptionist, Office Administrator, Office Assistant).

-Strong organisational and multitasking abilities.

-Excellent communication skills (written and verbal).

-Proficiency in MS Office (Word, Excel, Outlook).

-Ability to handle confidential information with professionalism.

-Knowledge of office management systems and procedures.

-Flexible, team-oriented, and proactive with the ability to work independently.

-Experience in the care sector is a plus but not essential.
