The Rent on Time Administrator will play a key part in the success of the Rent on Time service, by providing a first-class tenancy and rent payment administration service. Undertaking and overseeing elements of the tenancy administration, this is a very busy role and the ability to stay calm under pressure is key along with excellent attention to detail and the ability to multi-task and communicate with customers over the telephone and in person.Duties & Responsibilities:
- Support the Rent on Time function to deliver a seamless service to Rent on Time customers, including:
- Processing of new Rent on Time applications to include checking and collecting required information and adding properties onto the system
- Running reports and generating rent lists
- Downloading bank transactions and updating bank statement lists
- Issuing daily rent lists to agents for confirmation
- Allocation of rental payments
- Daily quality checking of rent lists prior to authorisation for payment
- Deposit management and registration
- Processing of tenancy agreements and extensions where required
- Taking a small amount of rental payments over the phone using the online system
- Assisting with Rent on Time portfolio transfer administration
- Processing refund and deposit return requests for authorisation
- Taking inbound calls from agents and tenants
- Managing the Rent on Time inboxes
- Incepting, renewing and terminating rent guarantee policies
- Archiving properties following vacation from the Rent on Time service
- Support the Rent on Time claims customers, where tenancies have been passed to the Rent Guarantee Claims team, including:
- Keeping arrears lists up to date
- Providing details for the Rent on Time credit controllers for distribution to customers
- Source documents from customers on behalf of the claims team
- Submit new claims on behalf of Rent on Time customers
- Generate and update rent schedules
- Liaise with customers regarding deposit use and property re-letting
- Assist with Rent on Time audits when required
- Assist with Rent on Time claims administration when required
- Carry out any other tasks that may be required of you from your team leader or line manager
