Job Purpose:To provide high-level administrative support within the school, managing student records, handling communications, and ensuring the efficient operation of school processes using the SIMS system. The ideal candidate will be proficient in SIMS and have strong organizational, communication, and IT skills.
Key Responsibilities:
SIMS Administration:
- Manage and maintain accurate student data in SIMS (admissions, attendance, assessments, and personal details).
- Update and process data as required, ensuring all information is current, accurate, and compliant with data protection regulations.
- Generate reports using SIMS for attendance, student progress, behavior, and other academic records as requested by staff.
- Ensure the smooth integration of new students into the SIMS system and facilitate their enrollment process.
- Assist with school census data collection and submission through SIMS.
General Administrative Support:
- Provide administrative support to the leadership team, teachers, and other staff.
- Handle day-to-day communication, including emails, phone calls, and in-person queries from parents, staff, and students.
- Manage staff and student absence records, including processing sick leave and holidays through the SIMS system.
- Organize and maintain school records, filing systems, and databases, ensuring data is accessible and up-to-date.
Communication and Coordination:
- Coordinate parent-teacher meetings, school events, and other activities, ensuring clear communication and smooth operations.
- Draft letters, emails, and other forms of communication for school-related matters.
- Work with the pastoral care team to monitor student welfare and attendance issues, updating relevant records in SIMS.
Financial Administration:
- Assist with the administration of school fees, lunch payments, and other financial records where necessary.
- Help to process orders and maintain budgets in line with school policy.
General Office Management:
- Ensure the school office runs smoothly, managing incoming and outgoing correspondence, mail, and deliveries.
- Support in managing school supplies and maintaining stock levels.
Health & Safety Compliance:
- Ensure all records related to first aid, student health, and emergency contacts are kept up-to-date in SIMS and in physical records.
- Assist with the planning and documentation of health and safety audits and assessments.
