Role Summary

As our Employee Share Plan Services continues to grow, we are looking for Senior Administrator Executive Dealing and Settlement, to join our established Executive and Discretionary Plans operational team who are responsible for the delivery of our Executive and Discretionary Plan Dealing and Settlements Service. The role offers the chance to learn both valuable business skills whilst also developing specialist knowledge of Executive and Discretionary Share Plans, alongside broader share market and regulatory knowledge.

Core Duties/Responsibilities

  • Understand client SLA's and manage own workload to ensure timely delivery of client deliverables and escalate to Team Leader if timescales cannot be met
  • Dealing with queries directly from Senior Executive Employees regarding their Share Plans via e-mail
  • Preparation and reconciliation of all outgoing files ensuring that reconciliations are carried out to a high standard and any bespoke client processes are adhered to
  • Communicate on a daily basis with: Clients, Client Relationship Managers, Payroll Providers, Third-party brokers, Registrars, Trusts and further internal teams (Custody Settlements / ECD Trust / Custody Cash / EQX / EQPay / CPC / CSN / GN) to resolve queries via phone/email
  • Arrange sales of shares - including very high value trades for Senior Executives and Board Members. This includes undertaking a high number of complex manual calculations, including tax and liability calculations that need to be carried out in a timely manner. In the instance of bulk trades, prepare bulk files for checking and loading into the system.
  • Arrange the transfer of shares by preparing the transfer instruction and acting upon this in a timely manner to move retained shares to the correct destination employees in accordance with SLA's. Processing the transfer via the Crest system accurately and within Crest processing windows and avoiding incurring late settlements fees.
  • Oversee the despatch of GBP and foreign tax and proceed payments to clients and employees. This includes booking and FX payments, loading beneficiaries into the EQPAY system and reconciling back funds despatched. Monitoring failed and rejected payments and liaising with Premier teams, clients and employees to obtain and validate bank details for onward delivery as instructed.

  • Executive and Discretionary Share Plan knowledge and good knowledge of internal systems i.e. Sirius, Centive, Xanite, Optitrade and EQ Pay.
